We are seeking a highly strategic, detail-driven Associate Vice President (AVP) to work at the intersection of the Chairman's Office, the Executive Board, and key external partners. This role blends strategic coordination, operational excellence, governance support, and high-touch lifestyle and travel management.

The AVP will ensure the Chairman and Supervisory Boards operate with maximum effectiveness-optimising time, decisions, meetings, travel, and high-level relationships with exceptional judgment and discretion.

Key Responsibilities

1. Leadership Calendar & Scheduling

- Own and optimise the Chairman's and Supervisory Board's calendars.

- Align time with strategic priorities through proactive, conflict-free scheduling.

- Maintain an integrated view across meetings, travel, and personal commitments.

2. Supervisory Board Governance

- Drive end-to-end Board operations including agenda setting, documentation, pre-reads, minutes, follow-ups, and compliance.

- Maintain governance discipline and complete confidentiality.

3. Executive Board Interface

- Act as a strategic link between the Chairman's Office and the Executive Board.

- Facilitate structured communication, updates, and decision-tracking.

- Translate strategic direction into actionable execution.

4. Meeting Preparation & Intelligence

- Prepare briefing notes, participant dossiers, background research, and talking points.

- Ensure pre-meeting readiness and post-meeting documentation of outcomes.

5. Travel Strategy & Coordination

- Plan and manage all domestic & international travel (including private aviation).

- Oversee visas, airport facilitation, customs, logistics, and contingency planning.

- Curate end-to-end travel experiences aligned with preferences and protocol.

6. Lifestyle & Experience Management

- Manage high-touch hospitality, dining, wellness, and event experience requirements.

- Build strong relationships with premium global hospitality and concierge partners.

7. VIBP & Partner Coordination

- Liaise with key business partners, investors, and senior stakeholders.

- Manage meeting readiness, travel support, and event participation.

8. Communication & Information Flow

- Govern incoming requests, communication flow, and escalation protocols.

- Protect confidentiality and prioritise effectively.

9. Documentation, Reconciliation & Settlements

- Oversee documentation and settlement of travel, hotel, and F&B expenses.

- Ensure accuracy and adherence to governance controls.

10. Action Tracking & Accountability

- Record minutes, track action items, and monitor progress to closure.

- Provide periodic updates to leadership.

11. Travel Risk & Contingency Management

- Anticipate logistical risks; manage last-minute changes or disruptions with 247 readiness.

12. Global Protocol & Representation

- Apply international etiquette and cultural intelligence across engagements.

- Represent the Chairman's Office with poise and professionalism.

13. Technology & Digital Organisation

- Use advanced tools for scheduling, workflow, and documentation.

- Maintain structured digital records of meetings, travel, and board files.

14. Institutional Memory

- Maintain comprehensive archives of engagements, decisions, and correspondence.

- Ensure continuity and ease of retrieval for institutional knowledge.

15. Standards, Discretion & Trust

- Demonstrate impeccable judgment, confidentiality, and professionalism.

- Anticipate needs and deliver seamless, proactive support.
