Client : Leading Education Group with national presence.  Role is of Chief Administration Officer/Administration Head for India.   Reporting to CEO / COO   Team - Nationally spread out   Role :   - To steer operations with focus on devising policies & directives  - Oversee their implementation to ensure achievement of pre-set goals and mission.   - Prepare various reports with a view to apprise management of the process operations and assisting in critical decision-making process.  - Overseeing general administration and ensuring business continuity from an infrastructure and facility perspective & setting the guidelines and policies for security, fire protection and housekeeping.  - Ensuring optimum and effective utilization of funds in providing congenial work environment and basic amenities in the work premises.  - Handling complete facilities & infrastructure set up involving Cafeteria, Offices, Vendor Management, Security, Building maintenance,  - Housekeeping and Fire Fighting across the premises.  - Managing proper maintenance of building services (electrical, air-conditioning, plumbing, landscaping, housekeeping, civil works, etc.).  - Liaising with all government & semi government bodies like BSNL, Electrical Department, Labour department, Transport department etc.  Supervising forecasting, budgeting, procurement, distribution as well as consumption of resources.  - Selecting and developing vendors for meeting various facility requirements of organization; handling all the bills of various vendors and ensuring smooth payments for the same.  - Managing transport & logistics operations involving coordinating with internal & external agencies to achieve seamless & cost-effective transport solutions.  - Supervising related activities including infrastructure management, facilities planning, telecommunications & utilization of resources.  - Managing all related activities including Infrastructure Management facilities planning, security, transports, and canteen and utmost utilization of resources.  - Maintain direct communication with school's leadership team (including school principal, vice principal, headmistress & academic coordinators.  - Procuring capital items and consumables. Floating enquiries based on purchase requests, getting offers, negotiations with suppliers, preparing purchase orders, follow-up with suppliers for timely delivery and certifying bills for payments, revising all contracts and AMC's i.e. Housekeeping, Pest control, Security, DG Sets, RO Plant, STP Plants, Transport, Courier, Fire & Safety equipments, Computer Systems, UPS, EPABX, Insurance of Building/s/ Vehicles/Students/Staff members etc.  - Assisting sports, welfare activities and event management.  - Looking after inventory of PCs and all other admin assets with configuration and other resources.  - Keeping track of the location with asset numbering. Monitoring hardware resources.  - Co-coordinating and following up on network related areas for minimum downtime of link line, providing administrative support on maintaining and upgrading network setup.  - Setting certain systems as well as procedures for effective functioning with regards to transport, security, stores, and day-to-day operations.  - Overseeing other routines like periodical review on courier services, material movement from/to office, inventory of assets, upkeep of office, complaint register etc.  - Taking care of all the statutory rules, regulations, and see that all are complied and there should not be any delay and fulfilling the same.  - Tendering process for the work orders i.e. civil work, wood furniture, modular furniture, air-conditioning, internal & external electrical work, genset power supply, UPS power supply, flooring & ceiling, networking equipment and other necessary things.  - Interacting with all the vendors to ensure that work will get over in stipulated time. Arranging weekly review meetings with the Department Heads.  - Interfacing with all the Government departments like BSNL, Electricity, Labour Department, Transport Department etc. building good relation with them to get the work done quickly and in time.  - Interacting with all the vendors and negotiating for the best for the company.  - Taking care of all the administrative day-to day activities required in office independently. Maintaining all the records of the software licenses and hardware in details i.e. detail configuration of the machine and the software loaded in it.  - Signing all AMC's and contracts which all are required.  - Keeping track of all the payments and disbursement of payments.  - Working on employee's reimbursements, bank reconciliation and keeping record of assets and capital purchases.
