Job Title: Bid Management Specialist


Location: Kolkata


Experience: 2-5 Years

Role Overview:


We are seeking a Bid Management Specialist with strong experience in Government tendering, GeM portal operations, documentation, and end-to-end coordination.


The ideal candidate will manage tender searches, bid submissions, vendor registrations, and communication with OEMs and internal teams, ensuring all bids are compliant and submitted within deadlines.


Key Responsibilities:


1. Tender & Bid Management:


- Identify, track, and evaluate relevant tenders from GeM, CPP, e-procurement portals, and state government websites.


- Review tender documents, eligibility criteria, scope of work, and technical requirements.


- Ensure timely submission of technical and financial bids.


- Prepare tender documents, compliance checklists, and required annexures.


2. GeM Portal Operations:


- Manage GeM portal activities including bid participation, product listing, OEM mapping, and order processing.


- Upload/update catalogues, pricing, and documentation as required.


- Handle bid queries, RTQs, and submit clarification responses on GeM.


3. Documentation & Coordination:


- Prepare and maintain tender-related documents such as:


i. EMD, BG, vendor registrations


ii. Authorization letters


iii. Technical specifications


iv. Price bids


- Coordinate with internal teams (sales, pre-sales, finance, legal) for all necessary inputs.


- Liaise with OEMs for product details, pricing, and required authorizations.


4. Compliance & Record Keeping:


- Ensure all submissions strictly meet compliance and tender requirements.


- Maintain accurate records of submitted bids, awarded tenders, rejections, and upcoming opportunities.


5. Communication & Vendor Management:


- Communicate with government departments, procurement officials, and vendors regarding tender processes.


- Respond to tender-related queries and follow up on active bids.


- Support vendor registrations, empanelment, and related activities.


Required Skills & Qualifications:


- Graduate in any discipline (MBA or technical background preferred).


- 1-5 years of experience in Tendering / GeM Portal / E-procurement portals.


- Strong understanding of GeM portal operations, bidding, and product listing processes.


- In-depth knowledge of tender documents, RFPs, RFQs, and compliance frameworks.


- Proficiency in MS Excel, Word, PDF preparation, and documentation.


- Excellent attention to detail and strong time-management skills.


- Effective communication, coordination abilities, and capability to work under deadlines
