Admin Manager - Administration and Facility - 15+ Years - Gurugram

Location - Gurgaon

We are hiring an experienced Admin/Facilities professional to ensure smooth day-to-day operations of a fast-paced corporate office. The ideal candidate will manage facilities, vendor relationships, site services, and small teams to maintain a safe, efficient and cost-effective workplace.

Responsibilities

- Plan and coordinate office installations, refurbishments, and fit-outs (telecom, electrical, HVAC, etc.).

- Manage upkeep of equipment, supplies and facilities to meet health & safety standards and reduce costs.

- Supervise on-site facilities staff and external contractors (custodial, technicians, grounds, security).

- Control activities such as parking allocation, waste disposal, building security and access control.

- Allocate and optimize office space according to business needs.

- Handle service contracts, insurance plans, and vendor SLAs; negotiate and manage vendor performance.

- Track utilities consumption and implement cost-saving initiatives.

- Maintain accurate records, manage budgets for facilities, and prepare regular status reports.

- Act as primary point of contact for facilities-related escalations and emergency response (available for out-of-hours support as needed).

- Support senior management with ad-hoc administrative projects and cross-functional coordination.

Requirements

- 15 years experience in office administration or facilities management, preferably in large corporate or professional services environments.

- Strong knowledge of facilities management best practices and technical operations.

- Excellent MS Office skills (Excel, Word, PowerPoint); strong analytical ability.

- Proven vendor management, negotiation and stakeholder management skills.

- Ability to respond to emergencies and manage out-of-hours situations.

- Good communication and people-management skills.

- Diploma/Graduate in Facility Management, Engineering, Business Administration, or related field preferred.
