DESIGNATION: Manager - Contracts & Procurement

DEPARTMENT NAME: Contracts & Procurement

LOCATION: Mumbai HO (Lower Parel)

REPORTING TO: Procurement Head

Basic Purpose of the Position:

The incumbent will be based at Head office in contracts and procurement vertical and shall be responsible for formulating Contracts, Award of Contracts, Administer the contracts and Closure of contracts.

This involves negotiating with vendors and suppliers, drafting agreements, contractual correspondences, managing claims and extra works, periodic monitoring of billing & material reconciliations. The incumbent will also be responsible for developing regional resources from Process and Knowledge perspective.

Role Responsibilities:

1. Scoping of Contract Requirement:

i. Reviews requirements placed by other teams (technical/ material/ service) and develops RFP/tenders using available template

ii. Checks for available vendors from empaneled/ internal list

iii. Identify and PQ new vendors, Update empaneled list.

iv. Consolidates and analyze submitted quotations

v. Validates and cross checks prices quoted by vendors

2. Short listing Contractors/ vendors:

i. Help regional teams to shortlists vendors basis the quotation rates, reviews and recommendations by HO/ peers

ii. Conducts reference checks for vendors- profile of the company, quality of the contractors works in the market, visiting site of contractor/vendors

iii. Recommends to HO for obtaining approvals

3. Contract Formulation:

i. Drafts agreements / contracts basis base rate,

ii. Standardize GCC, SCC and other related documents.

iii. Releases Work order to the vendor in predefined template

iv. Generates purchase order to vendors

v. Ensures contractors provide the documents as required viz. Bank Guarantee/Warranties

4. Contract Administration:

i. Ensures contractors follow statutory regulations as required by law

ii. Ensures material is delivered as per pre-defined schedule

iii. Acts as an arbitrator between the contractor & project team to resolve Issues related to interpretation of contracts through clarifying the intent of the clause in the contract to both parties

iv. Maintains regular contact with contractors

5. MIS and Reporting:

i. Prepares consolidated rate sheets of items / awards.

ii. Documents and keeps track of reviews for each vendor/ consultant for future references.

6. Process Adherence:

i. Complies with company defined guidelines and processes

ii. Adheres to project timelines

7. Process Improvement:

i. Identifies processes/procedures in own work area that need improvement

ii. Recommends process improvement ideas to streamline efficiency/ costs/ productivity

iii. Undertakes process improvement activities in own work area

Working Relationships (Internal and External):

Internal Interfaces:

- Departments - For all contract related issues with respective consultant/vendor

External Interfaces:

- Vendors / Consultants / Contractors - Negotiation for purchase, placing purchase order

Position Specifications (Know-How, Skills and Knowledge for this position):

Experience & Educational Qualification Required:

Civil Engineer with 5-10 years of relevant experience.

Functional/ Technical competencies:

- Market knowledge- vendor base in construction industry

- Understanding of pricing

- Understanding of Contracts

- Negotiation skill

- Project understanding

- Product Knowledge

- Material knowledge
