Right now, we are seeking a Sr Associate - Software Asset Management

- Under general supervision, researches vendors of IT related products and services, processes financial transactions to IT vendors and responds to vendor inquiries. Recommends new purchases of hardware and software in alignment with company and industry standards.

- Answers internal questions regarding the products and services provided by IT vendors. Troubleshoots any existing problems with vendor products and services.

- Under general supervision, the Software Asset Analyst supports the IT Asset Management group and is responsible for various system tracking activities and accurate data entry.

- Responsibilities include participating in the implementation of a software asset management software tool and taking a lead role responsible for data upload and accuracy, as well as other activities assigned as part of organization's IT Asset Management Program.

- This role will also perform one or more of the following: understanding of software entitlements; maintaining data in a database; analyzing and creating reports; create, manage, maintain and track software license and software maintenance information.

- This role requires some degree of customer facing ability and interaction with IT leaders. Enforce IT Asset Management policies.

Key Areas of Responsibility :

- Demonstrate to the internal IT Asset Management team how Flexera can best be utilized to stay organized and efficient.

- Experience working with large software publishers (i.e. Microsoft, Oracle, etc.)

- Maintain accuracy of database containing software contracts, purchase information, entitlements, software maintenance, and budgeting

- Assist with auditing of data and corrective actions

- Actively seeks and clearly documents opportunities for process improvements and presents ideas within the department

- Develops and provides communication, reporting, and status updates regarding the IT Asset Program

- This role interacts with numerous internal departments and external vendors

- Executes IT Asset Management project related activities as required

- Must have working knowledge of Flexera IT Asset Management tool

- Manage software lifecycles to mitigate compliance risks and reduce TCO

- Verify software license rules and entitlements.

- Work with ITAM tools team to verify automated counters

- Reconcile and monitor software compliance and utilization

- Analyze and interpret contract use rights; provide IMAC approvals

- Support dispute resolution and audit defense initiatives

- Manage Proof of Entitlement Documentation and Asset Authorizations

- Manage Enterprise License true-up & reconciliation

- Perform audit response due diligence as required

- Engage and prioritize Legal resources as required

- Coordinate with Finance, Accounting, Accounts Payable, Tax, Procurement and Legal

- Maintain software license, maintenance & proof of entitlement records

- Ensure renewals comply with existing contractual agreements and license standards

- Drive savings from maintenance / license optimization

- Report cost reduction & avoidance benefits

- Maintain renewal calendar & create alerts

- Track and ensure notice periods are met for cancellations

- Provide periodic statistics / reports

- Perform Data Mining / Exporting

- Other duties as required

Qualifications :

- 5+ years of hands on Flexera experience

- 4-5 years working within Software Asset Management

- Excellent communication skills

- Lead, BA, or PM skills preferred but are not required

- Able to communicate the internal workings of the Flexera tool in depth (IE how it gathers data & action items)
