SCOPE OF WORK - Responsible for smooth execution and delivery of all Admin and Security-related functions at North Region. - As a subject matter expert will hold the accountability for ensuring all security risk controls are identified and effectively managed and all necessary acceptance, mitigation, management, or transference of risk is undertaken in line with the policy and best practice. - Will ensure a close working relationship with delivery partners to ensure efficient and effective delivery of appropriate security and admin services. PRINCIPAL RESPONSIBILITIES - Define the role of the overall department - Create changes to improve operational efficiency. - Set department targets (KRA) & prioritize the same in line with company objectives. - Strategize initiatives to continuously improve the functional efficiency of asset protection and administrative services. - Identify developmental needs for the team. - Plan training for department personnel - Identify areas of improvement to ensure continuous improvements in the dept. - Revenue and capital budget planning - Design goals, KRA & KPIs for the team. - Review performance of the team periodically through performance appraisals. KEY DELIVERABLES - Design and implement robust operating procedures. - Formulate Admin budget - Plan and coordinate various office administrative procedures and systems and devise ways to streamline processes at multiple locations of the company - Security, housekeeping, transportation, facilities management - Coordination of travel and accommodation arrangements. - Coordinate event management activities in the region - Vendor and service provider management, including selection, negotiation, contracting agreements, and transition - Ensure deliverables from service contractors in accordance with SLA. - Efficient operations of the company guest houses - Preparation and communication of efficient MIS to concerned senior management - Ensure material safety and zero pilferage. - Risk assessment and resolution - Implement an effective and efficient security incident reporting and investigation process - Identify and provision for physical security training requirements THE RIGHT PERSON - Ability to analyse complex situations, make relevant deductions to advise and inform practical solutions - Possess the ability to communicate effectively, to direct peers, and to senior leaders/executives. - Strong leadership and management skills especially in the areas of organisation, driving results, innovation, motivation, and cost-effectiveness. - Must be a strong collaborator with the ability to drive and achieve results - Must be familiar with Facilities Management Principles - Should be well versed in Administration departmental procedures and policies and should be able to actively find innovative ways to execute tasks more efficiently - Strong skills in negotiations and vendor/contract management - Disaster Management/Business Continuity exp - Served in the Armed Forces / Uniformed Services with 4 years of relevant corporate experience.
