Position Title: Commercial Administrative Analyst
Location: Sa Dec City, Dong Thap Province, Vietnam
Reporting Manager: General Director, Deputy General Director, BODs
The Commercial Administrative Analyst will be in charge of coordinating an organization's administration system and general workflows. Their duties include supervising staff, facilitating communication throughout a company and developing procedures to make a workplace more efficient, coordinating commercial teams and collaborating with contract managers to resolve contractual and commercial issues. This involves contract negotiation, project planning, and risk management.
Roles & Responsibilities:
- Planning and coordinating administrative procedures and systems and devising ways to streamline processes.
- Follow up with different commercial and administrative departments to ensure all strategies are implemented in a timely manner
- Recruiting and training personnel and allocating responsibilities and office space.
- Assessing staff performance and providing coaching and guidance to ensure maximum efficiency.
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
- Identify commercial opportunities to expand the business, including through partnerships, mergers and new markets
- Ensure weekly sales targets are met
- Prepare sales contracts and other export related documents
- Liaise with global customers to send samples, close orders, and process orders
- Analyse sales, marketing, finance and other reports to gain insights into how to improve performance, maximize growth & minimize cost.
- Adapt excellent Negotiation skills for contracts & agreements.
- Develop accurate and consistent bids with the help of relevant departments
- Maintain sustainable and productive relationships with existing clients
- Assess risks involved with new initiatives, ensure deadlines are met and be ready to handle unexpected situations.
- Manage schedules and deadlines.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Monitor costs and expenses to assist in budget preparation.
- Oversee facilities services, maintenance activities and tradespersons (e.g electricians) to ensure factory hygiene and maintenance is met
- Organize and supervise other office activities (recycling, renovations, event planning etc.)
- Ensure operations adhere to policies and regulations
- Keep abreast with all organizational changes and business developments.
Professional Experiences :
- Minimum of 3 years' experience in an administrative managerial position (mandatory)
- Proficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systems.
- Results-oriented, strategic thinker and planner.
- Familiarity with financial and facilities management principles
- Strong time-management skills and the ability to manage multiple projects at once.
- Ability to keep company confidences
- Superior communications skills; written and spoken
Qualifications :
- Bachelor's/Master's degree in Business Management or a related discipline, or equivalent practical experience. (mandatory)
