Job opening for Senior Manager - Events & Corporate Services
JOB PURPOSE :
- The purpose of the senior events & corporate services manager is to develop & deliver client company and its fully owned subsidiary companies strategy for all events & travel management .
- He/She will be accountable for predefined & measurable deliverables for all events & travel management organized under client & its fully owned subsidiary companies.
PRINCIPAL ACCOUNTABILITIES (Accountabilities associated with the job):
1. Events (CMD Office, Group & Company namely BFS,BFAMC,BFDL &EBH Domestic and International events
- Set Monitor & maintain oversight of event strategy, delivery & development.
- Establish objectives, budgets, resource allocation & planning.
- Establish & monitor quality standards.
- Ensure contribution & collaboration with BFS, BFAMC, BFDL & EBH leadership & internal HR, admin & marketing teams.
- Ensure alignment & optimization of BFS, BFAMC, BFDL & EBH, HR, administrative, technical, managerial policy & infrastructures.
- Align operations with respective company strategy & ethics.
- Maintain sustainable relationship with external suppliers, partners & vendors.
- Ongoing monitoring, reporting & evaluation.
- Manage personal engagements of CMD & his family.
- Manage quarterly/annual board meetings of various group companies
- Partner with relevant HR team to obtain monthly / periodic calendar, detailed requirements and budgets available
- Guide team to make adequate arrangements for L&D events and resolve any escalated issues, as required
2. Travel Management (Domestic and International)
- Come up with programs & policies for corporate travel for BFS, BFAMC,BFDL & EBH.
- Plan & execute seamless Hotel desk & travel management operations support to BFS & its fully owned subsidiary companies.
- Ensure all travel arrangements & operations are made like transport & lodging.
- Build & sustain relationships with stakeholders at vendor organization (eg travel partners, hotels, other services) to promote the interest of the group & drive compliance to establish SLA's & to leverage bent rates & service quality.
- Negotiate rates &contracts with travel service providers.
- Review reports (eg last-minute booking, last minute cancellation, hotel reports) submitted by vendors & draw inferences that can be useful to optimize costs, identify discrepancies & inform process controllers.
- Drive vendors to process invoices within established timelines and resolve any escalated issues of vendor payments in coordination with the finance team.
- Ensure vendor payments are processed in the agreed timelines.
- Ensure adherence to all policies related to Travel and Hotel; Identify and highlight to supervisor, any changes required to the policies based on user feedback and changing business operations.
- Provide suggestions & advice on travel documents, import & export regulations & insurance
- Project T & E reports.
- Continuously work towards the improvement of travel programs.
- Cater to adhoc requirements that may arise in the given portfolio.

- Lack of a system with established protocols/processes that aid in operational effectiveness
- High dependency on third parties to meet internal TAT guidelines
- Taking a holistic perspective of business, cost and customer service for certain decisions

- Negotiation of price, SLAs and other commercial/ service terms basis DOA
- Evaluation of vendors' performance
- Payment approval for vendors basis DOA

SKILLS AND KNOWLEDGE (Minimum acceptable proficiency for this job which best indicates the education and/or experience requirements of this job and not the incumbent) :
Educational Qualifications :
a) Qualifications
- Post-graduation degree /Bachelor's degree in catering/hospitality
b) Work Experience
- Minimum 10 years of professional experience in events.
- A sound knowledge of NBFC events marketplace, destinations, suppliers, trade organization, trends, peer organizations.
- A marketing oriented, customer centric business outlook, combining strategic thinking with hands on skills.
- High comfort levels with emerging event, travel & communication technologies.
- Excellent communication skills in English are a must, Marathi & Hindi languages are an asset.
- Minimum 5yr of professional experience in corporate travel, tourism or hospitality business.
- Excellent knowledge of domestic & international travel regulations & customs.
- Knowledge of T & E processing.
