Senior Manager - Administration - BPO
Basic Function :
- Responsible for all activities in areas of Administration, Transport, logistics, facilities management, procurement and vendor management
- Developing plans for maintenance and up-keep of the Company's facilities such as security services, transportation, cafeteria, housekeeping, repairs and maintenance
- Exploring the options of outsourcing maintenance.
- Responsible for preparing and rolling out a consolidated FMS manual
- Managing logistics and space planning within office/department.
- Asset Management.
- To design and implement systems and procedures for smooth functioning of the department.
- Preparing and maintaining a local Vendor Management Policy.
- Identifying and negotiating with vendors and evaluating/reviewing vendors for purchases
- Responsible to manage Transport systems for all the employees, to drive efficiency to optimize the utilization, vendor coordination, high level compliance and tracking systems.
- Liaison with various government authorities.
- Ensuring compliance and quality within the department
- Responsible to maintain the MIS and Dashboard of FMS for the group.
- Deal with serious indiscipline issues which involves misuse of office equipments, damage to company property
- Adherence to info security policy
- Essential Functions
- Ensure Maintenance of facilities.
- Responsible to manage BCP documents.
- Create and develop new practices, procedures to maintain the service level of the services provided through Admin.
Procurement:
- Liaison with various government authorities
- Code of conduct
- Primary Internal Interactions
- Ensure periodic briefing sessions for transport, security and housekeeping staff to maintain the facility has been conducted.
- Coordination with the internal customers to maintain the C-sat
- Coordination with various departments to understand and solve admin related issues, procedures.
- Ensure BCP test for transport, power, and fire conducted on time and as per the schedule.
- Conducting evacuation drill to make staff aware for the evacuation process and to spread awareness of fire fighting.
- Ensure access control system works properly and all the staff's cards work fine. Generating access control log reports as and when required.
- Conducting C-Sat
- Primary External Interactions
- Co-ordination with vendors to maintain the service level.
- Coordination with the vendors for billing related issues.
- Coordination with the vendors for spreading awareness regarding safety measures for Transport and Security.
- Invites quotes to meet various operations requirements
Skills :
- Technical Skills MS-Office

- Knowledge of transport management

- Liaison with government officials such as STPI, Customs, MBMC, Octroi etc.
- Knowledge of critical equipments such as UPS, DG, AC
