Job Specification Form Job Title (Internal/External) : Sr. Manager Job Location(s) : Mumbai - Manage the entire administration function in the location independently. - Oversee and coordinate the efficient running of services in office as well as work with office leadership to provide assistance and leverage in functional areas as required. - The person in this role will be expected to contribute to the enhanced performance of team, by acting as link between the central and location Partner group, particularly to operational matters. - Seek continuous improvement and reengineer processes to utilize creative solutions and new technologies - Collaborating together with Local Finance and HR to forecast staff needs for the business taking into account the rapidly evolving nature of our business - Discharging responsibilities on whole gamut of administrative areas ranging from policy compliance by employees, vendor management, contract administration, inventory management, security and safety of assets as well as personnel and adherence to legal requirements. - Management and supervision of interior fit-outs, office design, and basic engineering concepts - Build a high performing team by fostering team work (within work groups, across functions and throughout the system); Develop a strong administrative management team; Coach direct reports; supervise the coaching of indirect reports - Develop strong relationships with key stakeholders to ensure the business needs are managed effectively - Establish credibility and trust quickly through sound judgement and decision making - Ensure healthy and hygienic operation of canteen / cafeteria through identified vendor / contractor - Initiate vendor development and identification programs for various services with the objective of maintaining sustainable and mutually beneficial relationships with partners - Drive contract negotiations and finalization with selected vendors / contractors - Analyzing the need, developing and executing the support systems and putting in place required systems for services like security, safety, housekeeping, preventive maintenance, pantry operations, reprographics, office stationery and parking management - Responsible for transport management and parking management in office precincts - Responsible for complete arrangements for annual events, conferences, seminars and other functions of the Firm organized from time to time - Liasoning with government authorities like BMC, MPCB, MTNL, Licenses department etc for smooth and seamless compliance with required statutory and legal requirements
