Minimum Job Requirements :
Educational Qualification : MBA-HR or PG Diploma-PMIR. LLB would be preferred advantage.
Experience : 15 - 20 years in all gamut of HR.
Any additional requirement : Experience preferably handling multiple business units.
Purpose of the Position (Job Summary) :
- The incumbent should have experience in Corporate Affairs, Safety and Administration of a large manufacturing organization.
Key Roles and Responsibilities :
Financial : To ensure adherence to Corporate Affairs, Safety and Administration Budget.
Customer Oriented : To identify gaps in Head Office worker's training programs and suggest changes to COE Training to incorporate that meets the needs of management and employees.
People Oriented :
- To conduct annual performance review process of Head Office worker's.
- To work with management to develop effective internal communications (between and among management and workers) to promote morale and achieve company-wide goals.
- To provide leadership to Compliance, Safety and Administration vertical and build organizational capability and effectiveness through regular interaction and knowledge sharing. Ensure a strong focus on internal customer satisfaction.
- To diagnose organizational issues through ESAT survey, develop solutions, and implement them
Internal Business Process :
Corporate Affairs :
- To maintain strong Networking & Relationship with Police, PF Deptt, ESI Deptt, Labour Deptt, Judiciary and Different Central / State Government Ministries & Departments like Commerce & Industries, Home Affairs, Human Resource, Finance, Income Tax & Excise, Environment, Corporate Affairs, Social Justice, Textiles, Chemical & Fertilizer, etc.
- To Coordinate with Government Departments / Regulatory Authorities for obtaining necessary sanctions / approval and ensuring compliance with various statutory obligations
- To Manage industry affairs, establishing leadership status for company in industry associations, strategic intervention on various regulatory policies and analysis of business environment in states for new initiatives
- To Address the matters related to administration, disciplinary, welfare, protocol & Investigating Agencies
- To look after all the compliances and matters pertaining to PF Act, ESI, Gratuity, Labour registration, Bonus & Liasoning with local bodies.
- To look after matters pertaining to Industrial Disputes Act, Payment of wages act, Bonus act.
- To be responsible for industrial discipline, labor conflict, handling labor issues, Lay offs, Retrenchment & compliances of Factory act.
- To look after collective bargaining, handling labour in different factories, labour unions, employee grievances, Memorandum of settlements etc.
- To co-ordinate with company's advocates, consultants on labour matters
Industrial Norms :
- To ensure adherence of statutory wages, bonus, incentives, minimum wages, risk management etc.
- To ensure issuance of necessary Orders, Circulars & Notices.
Administration :
- To supervise facilities management activities such as Housekeeping, Guest Relations & Hospitality, Maintenance of various facilities, Transportation and Building Services.
- To prepare administration budget, set up governance procedures, allocating budget for all administrative requirements control/monitor the same and submit reports.
- To work on improving and enhancing service levels in all processes in order to ensure the best service levels
- To identify various modification/up-gradation needs of existing infrastructure & facilities and fulfil the same
- To ensure timely updating of AMC's and Insurance, are done for all the vehicles, and other equipment under the scope of work.
- To oversee transportation activities and ensure that vehicles are well maintained for best service levels and are efficiently utilized.
- To liaise with vendors, hotels, car rental agencies.
- To oversee housekeeping functions & ensure cleanliness and keep Vigilance on the work of housekeeping staff
- To take care of Renewals and Termination of contracts entered for Property, Branch Offices, Vehicle, Security, Housekeeping and other assets
- To play active role in purchase/rents for the office holdings, commercial properties as & when needed.
Safety & Security :
- To address environmental issues as per EHS standards and ensure timely provision of administrative support such as man & material security, transportation.
- To liaise with local ward officers and fire authorities, Government bodies & officials, municipality, service providers.
- To ensure complaint handling related to EHS activities.
- To establish the systems to ensure the adherence to new Product safety norms.
- To drive training about safety procedures and awareness programs are carried out for employees.
- To ensure compliance to all statutory and other norms on safety, health and environment.
- To provide a framework for occupational health activities and review the planned occupational health activities from time to time.
- To establish, maintain and monitor the safety policies and procedures as per the organizational as well as legal norms.
