Principal Accountabilities :
a. Responsible and Accountable for end-to-end facility management at corporate office
b. Execute the FM activities as per departmental and legal policies/guidelines.
c. Implement and build departmental SOPs and guidelines.
d. Oversee the cost and human resource optimisation.
e. Deploy contractual manpower agencies/ staff for FM.
f. Build positive work culture in line with organisational DNAs.
g. Strategize Administration activities as per changing business requirements
Desired Profile :
- Minimum Qualification - Graduate (Preferably master's or FM/ Project Management or equivalent certification)
- No of Experience - 12+ years
Core Competencies :
- In depth understanding of office management procedures and departmental and legal policies
- Familiarity with financial and facility management principles
- Team player with leadership skills
- Keep abreast with all organisational changes and business developments.
Technical Competencies : Technical know how about the MEP services including Electricals, HVAC, Security / Surveillance systems and other office equipment.
Working Relationships :
With all the internal and external customers i.e., team members, Cross functional teams, Leadership team, vendors and service providers
- Facility Management and General Administration
a. Housekeeping, security Travel, Stationary, Courier and other services
b. Ensuring 100% uptime for Technical (MEP) services
c. Space Management
d. Assets and inventory Management
- Process/Policies
a. Developing organizational Policies
b. Ensure operations adhere to policies and regulations and improving existing policies and guideline.
- Financial
a. Manage administrative budget and Monitoring Operating expenses.
b. Monthly provisioning of expenses
c. Ensure timely processing and 100% compliance on vendor billing.
- Compliance & Audit
a. Ensuring all the statutory compliances/ applications/renewals and display of the compliance documents
b. Ensuring the lease/service agreements are in force.
c. SPOC for internal/external audits and closure of observations.
- Project Management
a. Scheduling and planning and managing all kind of projects.
b. Delivering all the projects within defined timelines and cost.
- MIS, Reporting & Automation
a. Maintaining all MIS, preparing and publishing dashboards and reports
b. Automation of process
- Resource Management
a. Hiring and training administrative staff and Performance Management of team members
b. Sharing feedback of vendor performance with vendor Management team
