Position Goals: provision of comprehensive facility, contract and procurement management for technical and non-technical services with a focus on continuous improvement.
To achieve financial and other targets as agreed. Achievement of the Key Performance Indicators and Service Level Agreements.
DUTIES & RESPONSIBILITIES:
Achieve Stake Holder satisfaction to expectations.
- Develop and maintain a detailed understanding of business requirements and key factors influencing the requirement for our services.
- Develop and implement a tactical programme for pursuing key initiatives and innovation leading to demonstrable continuous improvement.
- Deliver value-creating opportunities toward Facility Operations
- Develop strong relationships with all key personnel at site
- Develop and implement procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems
- Ensure an adequate supply of materials and service for the proper operation of the facility and enter into supply and service contracts as approved.
- Effective team management to ensure smooth operations of Facility Including Soft Service and Hard Service
- Develop and implement innovative programmes and processes that reduce the utility costs, increase productivity and increase the savings
- Initiate strategies to achieve measurable improvements in Soft Services Experiences, energy consumption, in conjunction with the Building operation teams
- Coordinate with Building operation teams in setting up and sustaining the best maintenance standards and practices
- Coordinate with Building operation teams in setting up and sustaining the best House Keeping and Other allied Soft Services standards and practices
- Manage a programme of inspections for the property on Energy conservation, Maintenance practices, Utility management and Risk management procedures
- Implement and oversee the pre-emptive maintenance programme to reduce the risk of sudden failures of critical equipment
- Implement and manage an audit programme to ensure the exposure to risk is minimised
- Manage all service contracts, including inspections and quality management of service delivery
- Proactively engage stakeholders to ensure that site expectations are met
- Build and develop effective client / stakeholder relationships across multiple levels of the organisation
- On-site key point of contact for Admin in premises
- Ensure vendors are well-managed, delivering services on time and within budget
- Ensure that vendor procurement processes comply with agreed procurement guidelines as well as best practice
- Plan and manage all contracts to ensure that they are professionally delivered at the right costs
- Ensure expiry of contracts are well-monitored and re-procurement is initiated if needed
- Ensure contracts are continually assessed to deliver best value to the client
- Actively work to ensure that the site's financial operations are meeting or exceeding targets and control requirements
- Ensure financial processes are followed at all times
- Recommend continuous quality improvement practices and implement Industry Best Practice operations
- Implement building procedures and performance measures and ensure they are maintained at all times
- Ensure all Critical Environment requirements are met
- Review existing operations regularly to reduce costs and improve operational standards
- 24/7 emergency call support and site attendance is required
- Ensure a property risk management program including audits is implemented and maintained
- Ensure disaster recovering and business continuity plans are implemented and maintained
- Ensure escalation procedures and incident reporting procedures are implemented and in place
- Preparation of budgets and reports, including financial reconciliation for service contract, invoices, accounts
- Prepare Monthly /Quarterly & Annual Reports
