Key Responsibilities :

The role of Business Office Lead is to manage Mailing Systems, Risk & Control for the BTSS Products / Processes along with the Financial Controls and Reporting. Systematic data analytics that ensures an upward glide in profitability and business stability. Reengineering projects for continuous enhancements and developments to enrich client experiences. Managing business communications effectively and that are well presented to the desired stakeholders.

This multi-tasking role requires creativity and an excellency to perform the duties well. Self-motivated and ability to work under pressure is the best suite for the role.

The role also requires the incumbent to :

Mail & Distribution :

- Governance for mailroom processes for smooth operations that are align with defined In-country and Regional guidelines with all standardization.

- Ensure compliance with all Local regulations and Legal requirements according to the company policies

- Monitoring of MIS dashboard, sharing fortnightly and Monthly updates to higher management.

- Enhancement in mailroom operations by implementing automation in current processes.

- Ensuring mailroom COB (zero affect to the business in case of emergency) and evidences uploaded.

- Mailroom sites attestation on semi-annual basis.

- Timely supplier payments, managing their concerns and obtaining NOCs.

- Presenting M&D in regional forums.

Risk & Controls :

- Support the Regional Risk initiatives

- Coordinate monthly risk attestation, ensure controls are in place, escalate and control issues.

- Tracking contracts on monthly basis, follow up with BAOs and ESC. Timely contract renewal for BTSS suppliers.

- Attend monthly risk meeting, status updates on the Global / Regional R&C activities being cascaded to country teams

- Audit preparedness for single point of contact (SPOC), active participations and identify for risk areas.

- Escalate Gaps, Risks to Regional Leads, Visibility on iCAPs, Incidents/SIRT.

- SME - subject matter expert on RISK and Control

Financial Management and Control :

- Provide financial support in the Cluster, liaising with the Regional Business Office and Cluster/Country Head to ensure timely and accurate reporting of financials.

- Ensure timely reporting of Productivity/Business Saves and maintain and validate backup documentation.

- Analysis of monthly actuals against budget.

- Identifying primary drivers for cost movements and variances observed, and ensuring recovery and costs are close to budgeted numbers and plan.

Reengineering and Project Management Support :

- Serve as the Cluster Reengineering Champion to drive and promote reengineering initiatives and process improvement savings

- Provide project management support for reengineering and new project implementations.

Management Reporting :

- Partner with the Country Heads/Product leads/Zonal leads on cluster reporting for weekly updates, Monthly Operating Reviews (MORs) and various Ad hoc reporting requests from Regional and In-Country leadership team.

- Support the preparation of monthly Partner Relationship Management (PRM) deck.

Communications :

- Work with Cluster Head on communications.

- Design and prepare executive level presentations, reports and serve as quality assurance of cluster-specific presentations.

Talent :

- Provide Cluster support on all talent, development, and people engagement initiatives.

Job Skills/Qualifications :

- Bachelor's degree from an accredited institution. Added advantage for MBA's.

- Ability to perform with excellency working under pressure and tight schedule.

- Positive attitude, creative thinking, effective decision-making skills and results oriented.

- Ability to create and develop new business relationship, systems, and ideas to ensure company's success.

- Effective analytics to draw profitable conclusions.

- Customer focused, self-motivated, proven problem solver and conflicts resolver.

- Excellent command over English language in oral and written, able to communicate well with all levels of people.

- Commitment, ownership, and dedication towards work, while being flexible to work alone on the initiatives.

- Must demonstrate the highest level of personal and professional ethics and integrity in carrying out responsibilities to our stakeholders.

- Ability to understand data sensitivity and handle information appropriately.

- Strong management, influencing, communication and interpretation skills to deliver continuous service improvement.

- Individual proficiency with reporting tools and MS Office suite, management information systems (MIS), trend analysis etc.

- Efficiency in financial management and controls.

- Monitor QA and QC measures closely

- Management Reporting skills at Country, Cluster and Regional level.
