SUMMARY OF RESPONSIBILITIES:

Facility & other infrastructure

- Employee and facility safety and security

- Housekeeping

- Maintenance

- Liaison with landlord

- Establishing policies, procedures, and work schedules for all of the above

- Reviewing and updating health and safety policies and ensuring they are diligently adhered to.

Office assets, maintenance & procurement:

- Control over the office expenses towards facility maintenance.

- Set up system for office Inventory management.

- Procurement strategy for supplies and upgrades

- Vendor Management - negotiate pricing and terms per Monotype's policies and needs

Events:

- Implementation of corporate and general etiquette.

- In office celebrations.

- Orient new employees to operations - privileges extended and their responsibilities

- Ability (and experience) to autonomously design processes and author process good quality documents. A process based approach is critical to Monotype for being able to scale properly.

- Complete end to end organisation, execution of company business meetings and fun events

Travel and Visa:

- Responsible for employee commute, inbound and outbound travel and process improvements in each.

- Setting up process for purchase of tickets for international and domestic travel.

- Preparing all the documents for visa issuance to inbound and outbound employees

Vendor management, negotiations & others:

- Deal with vendors, landlord etc in utmost & careful way to bring about best results for Monotype. Basically one has to be assertive, having good presence of mind and is task & result driven in dealing with senior folks internally & externally.

- Able to bring insights and experience in Vendor management and negotiation strategies.

- Organizing healthy eating and snacks - being creative

- Guests management - in & out of Office.

- Writing reports for senior management and delivering presentations as per need.

- Organizing business events such as: Networking events, Product launches, Award ceremonies, board meetings, etc.

EDUCATION, WORK EXPERIENCE & OTHER ABILITIES REQUIRED:

- 8+ years of proven relevant experience, preferably in a US based multinational.

- Good with numbers, with basic data storage, analysis and deriving insights from numbers.

- Good presence, communication and assertiveness to deal with senior people and to represent the company.

- Good insights and experience in Vendor management and negotiation strategies.

- Intrinsically motivated with a deep sense of "service".

- Good command on MS Excel, MS Powerpoint and MS Word. Should be able to prepare reports and maintain MIS.

- Should be an exceptional organizer, communicator, multi-tasker and problem-solver.

- Knowledge of office management systems and procedures is a must.

- Excellent time management skills and ability to multi-task and priorities work.
