Company Profile Company is a multi-national firm providing merchandising solutions for retail customer and engaged in manufacturing &amp; servicing of retail displays, shop fittings/ fixtures. Job Location: Chakkan, Pune (with travel as per business requirements) Qualification - Ex-Servicemen commissioned officer rank (Short Commissioned officers can also be considered) - 3-5 years of experience of handling security and admin function, liasioning with government agencies of medium or large manufacturing set up - Knowledge of labour, companies, fire and safety and factory related legislations - Strong Marathi and English verbal and written communication skills - Competence to build and effectively manage interpersonal relationships at all levels of the company and external Responsibilities - Due-Diligence, Short Listing of Vendors for Admin activities such as Canteen, House Keeping, Transportation, Facilities Management, Waste &amp; Scrap Management, Security, Fire &amp; Safety, telecommunications and any other admin activities. - Development and management of performance metrics for evaluating vendor performance - Periodic Review of Vendor Key Performance Indicators for vendor payments and deductions - Tracking, monitoring of vendor daily, monthly scope deliverables as per agreement Responsible for security and safety of factory, machines, documents, company property, manpower and overall facility management/ upkeep - Supervise upkeep of building, facilities, roof, garden for repairs, renovations and maintenance - Prepare and implement Security, Health, Fire &amp; Safety, Admin related SOPs/checklist/ controls - Ensuring effective liasioning with various government departments and authorities - Maintain liaison with local police station, fire station and nearest hospital - Responsible to ensure compliance to Factory, Shops &amp; Establishment, Health, Fire and Safety related compliances and other local laws - Ensure timely renewals of all factory related licenses / permissions - Support all internal and external audits related to Admin, Security and factory. - Regular and proactive contact with the local community in terms of CSR work and dealing with their complaints and issues if any - Candidate would be responsible for Handling Social Compliance Audits such as Smeta (Sedex), and other client audits - Establish and monitor security protocols for movement of raw material, finished goods, waste, scrap, private vehicles entry and exit from factory premises - Oversight and management of security officers and supervisors provided by third party security vendor - Candidate should efficiently supervise security personnel and manage the security drills - Review of factory security and safety controls and set up industry best practices - Surprise security and safety reviews/ audits - Ensure proper upkeep of fire safety equipment and training of personnel to operate the same - Effective management of housekeeping and horticulture services by vendor towards overall upkeep of facility - Responsible for health and safety of factory, labour including activities such as fire and safety drills, first aid, health check-ups, maintain mandatory records, conduct periodic reviews and take necessary actions - Employee training and development on security, fire, health and safety aspects - Preparation of MIS Reports and Adhoc Management Reports - Participate in development and execution of Emergency Response planning and Crisis management for company facility - Review of grievance/ complaints received towards security, safety and take necessary actions. Conduct investigations of theft / loss / security breaches, providing timely assessments and reports to company's management, vigilance and intelligence collection and dissemination - Liaison with police and local administration in case of theft or any other untoward incidents - Ensure documentation as per company standards and statutory requirements
