Job Description: - This position has the responsibility for the procurement of goods and services following Authority policies, procedures and applicable local, state and federal regulations. - Duties include planning, scheduling, initiating, monitoring and quality assurance of all procurement and contract activities. - Work requires independent and professional judgment and is performed under the general direction of the management. - The Procurement Manager must have familiarity with sourcing and vendor management, must have an interest in market dynamics, ability to gather and analyze data and to work with figures, a knack for negotiation and networking. Functional Responsibilities: - Assists with the development and maintenance of a detailed Department Operations Manual that reflects policies and procedures, work processes and standards of performance within the Division. - Establishes and maintains historical data and a library of catalogue referencing suppliers, price list etc. - Create and review opportunities to implement best practice purchasing policies, processes and procedures to aid and improve business performance and deliver best value and savings. - Ensure that purchasing policies and processes are in place to meet business objectives and operational needs in terms of price, quality and delivery targets and which enables the company to function and compete effectively in the market. - Ensuring all purchases are as per approved brands provided by the operations team. It should be in complete alignment to production schedules and customer requirements. - Obtains and coordinates all product and purchase specifications from the various heads of department by means of a purchase request (PR) and maintains files of these purchase request together with purchase orders (PO). - Places all orders for non-inventory items once the purchase request has been approved by the Head of Finance and/or Management. - Optimizing and planning purchasing and storing of all Raw Materials to ensure smooth production, keeping in mind appropriate stock levels and movement of supplies. - Ensure implementation of software to ensure a smooth purchasing, requisition & transfer process. Responsible for the creation and maintenance of certain computer data namely: Inventory Items, Par Stock, items to be included as inventory items, re-order points, item listing, Purchase Orders, Unit of Measure, and inventory levels for all items maintained in inventory. - Evaluate the challenges faced by the business and take action to mitigate risks and develop opportunities in sourcing for both raw material for production and packaging. - Ensure that the function operates in accordance with any health, safety and environmental policies and procedures to ensure the safety and well-being of staff and visitors. - Documenting and honoring all approved products and raw material via product specification sheet. - Obtains and coordinates all product and purchase specifications from the various heads of department by means of a purchase request (PR) and maintains files of these purchase request together with purchase orders (PO). - Regular and timely maintenance of all purchase orders, bills and other documents in an organized manner. - To make and communicate decisions swiftly and with professionalism. - Monitors all cost in the Materials Department and initiates and maintains measures to control these. - Contributes to all forecasting and business planned activities by providing historical information and cost projections. - Assists the Head of Finance with the preparation and regular update of the Materials Departmental Budget and ensuring that targets are met, and costs are effectively controlled. Candidate Profile: Candidate should have 10 to 14 years of experience in procuring frozen foods, fresh foods, bakery products, dehydrated veggies and fruits etc.
