1. Job Purpose: To assist General Manager India to formulate and implement the Company's pan-India HR policies fairly and consistently across all India offices, in accordance with local employment legislation and Head Office best practices, with the objective of promoting a disciplined employee-oriented, high-performance work culture to enhance organizational efficiencies and achieve the Company's business goals.

2. Organizational Structure:

- The jobholder is based in Mumbai and reports to General Manager India, the country head. There are two employees directly reporting to HRMI.

- The Company has 8 stations in India and approximately 250 employees. Each station is headed by ex-patriate managers, who are typically posted to India for a 3-year term.

3 Key Responsibitities: This is a generalist role and the jobholder functions as a subject matter expert on HR policy and best practices to promote a work environment of openness and growth. The jobholder manages the administration of all aspects of the employee life cycle from recruitment to separation, including but not limited to the review andadministration of compensation and benefits, employee and union (industrial) relations, labour law and compliance advisory, payroll administration, disciplinary procedures and employee welfare.

3.1 Key Activities:

a) Recruitment:

- Maintain optimal staffing levels to enable effective functioning of all departments;

- Ensure shortlisting & selection criteria enables the selection of the best candidate (internal or external) for the job within allocated budgets.

b) HR Administration:

- Manage all processes and documentation with regards to hiring, onboarding, probationary/annual reviews, staff movements (transfers, promotions); disciplinary procedures and exit processing formalities consistently across 08 India stations.

- Administration of employee benefits (medical, insurance, travel, etc) and welfare.

- Conduct salary reviews based on benchmarking exercises to recommend and formulate salaries & benefits in accordance with industry norms.

- Organizational Development and Change Management. Provide decision support to Management on key projects & report to Management on employee feedback.

- Conduct investigations and disciplinary enquiries and recommend appropriate course of action.

- Coordinate and support the implementation of new HR systems and projects.

- Work closely with the Finance Team on budgets, payroll and all staff-related expenses/items.

c) Performance Management:

- Coordinate all activities for the Annual Performance Review process from goal setting at the start of the year to the final year-end review for each FY.

- On completion of the annual review process, carry out a ranking exercise with GMI and State Managers to decide on special payments and promotional possibilities.

d) Union & Employee Relations

- Manage relationships with 03 staff unions in Mumbai, Delhi & Chennai.

- Negotiations on Charters of Demands and Conflict Management.

- Ensure terms of Collective Agreements are implemented correctly and adhered to consistently.

- Regularly communicate and meet with union reps and manage grievances

- Investigate and resolve complex industrial relations issues.

- Brief company's labour lawyers on complex issues and recommend best course of action based on their advice.

- Represent Management at Industrial Tribunals and other labour authorities.

e) Employee Engagement:

- Build a culture with high-level staff involvement & commitment leading to a positive work environment, improved customer servicing and a secure workforce.

- Liaise with State Managers, Department Heads and staff on all HR/IR matters.

- Participate in discussions of critical importance.

- Draft all staff communications and ensure smooth flow of information to employees.

- Bridge Management-Employee relations by addressing grievances and other issues on an on-going basis.

- Handle complaints, manage grievance procedures and facilitate counselling where required.

- Maintain an up to-date view of the industry landscape.

f) Payroll Administration:

- Responsible for accurate computation & payment of salaries, which includes changes to salaries on account of annual salary reviews, promotions, transfers, etc.

- Compliance with various labour laws with regards to EPF, Gratuity, Professional Tax, etc.

- Checks on salary disbursement to staff's bank accounts.

4. Educational Level & Experience

Post graduate degree (preferably in HR/Business Administration) with at least 10 years' experience in strategic HR. The job holder should be extremely well-versed with Indian labour laws.

5. Personal characteristics and skills.

- Excellent written and verbal communication skills.

- Excellent interpersonal & collaborative skills. Must possess the ability to be accessible and communicate with all levels of employees from diverse backgrounds.

- Emotional maturity, high level of EQ and problem- solving capabilities

- High level of ethics, integrity, objectivity, and fairness.
