Position Summary:  Manage and coordinate project management, provide leadership for the team, manage quality and consistency of the facility, develop tools and techniques to manage facilities and growth better.  Project Management:  - Scope Development and Analysis: Gathers and compiles information from internal clients to identify specific business objectives and desired outcomes. Develops and presents alternatives that satisfy space, location, cost and timing objectives. Collaborates with client to select best course of action to meet objectives. Obtains appropriate approvals to proceed based on project size.   - Funding Identification and Approval: Determines capital or expense funding source. Collaborates with clients and Capital Investment Analysis to develop project financials and Capital Project Requests as needed.   - Planning and Organizing: Identifies necessary internal and external resources and establishes project team. Supervises selection of external service providers, including negotiation and execution of contracts. Communicates project plan and assigns roles and responsibilities. Establishes schedule and assigns budget responsibilities.  - Project Implementation: Monitors progress to ensure schedule, cost and quality are consistent with plan. Manages internal and external project resources including collaboration with design resources as needed. Identifies deviations from plan and develops remedial action steps to keep project on track. Communicates project updates to client, project team and in reports to management.  - Project Closeout: Measures, evaluates, summarizes and reports project completion and lessons learned, including feedback from internal clients.  Procurement:  - Floating tenders for all the works related to projects. Evaluation of vendors, vendor meetings pre-bid and post-bid for projects. Present service/ vendor recommendations to management, effectively communicating the business case and negotiating with key internal and external stakeholders based upon a thorough understanding of vendor capabilities and industry options. Participate in the vendor sourcing process; negotiate local vendor contracts, develop service transition plans, and manage the implications of operational changes. Maintain and appropriate a consistent level of vendor management. Procurement of items/products for site/projects which are energy efficient and quality.  - Source vendors for day to day operations. Partner with them to ensure they deliver quality product/services. Evaluate performance through history cards/score cards. Ensure you derive cost effective quality performance from the vendors.  General Administration:  - Process & Procedures : Understand the client’s business and requirement and design process and procedures for the facility within the framework.  - Operations : Facility upkeep-tight housekeeping mgmt., Security, BF/Lunch/Snacks/Dinner arrangements for employees, transport management – ensure safe movement of employees to and from workplace, regular maintenance, interaction with building manager/maintenance depts., etc., preparation of maintenance sheets, history card and process documentation for equipment, guidance on new areas, tools, techniques to manage facilities and growth better.  - Facility Standards Development : Development and documentation of standards to manage the quality and consistency of facilities.  - Compliance : Responsible for compliance with respect to statutory laws and for all periodic audits (internal and external).  - AMCs : On completion of warranty period, responsible for ensuring in place Annual Maintenance Contracts (AMCs) for all equipments and ensure timely support is received during any breakdown of equipments.  - MIS : Metrics and measurement indices for facility maintenance and upkeep, dashboards showing progress.  - Communication : Ensure timely communication to client, peers, vendors and all personnel connected with your work. Be precise, ensure all details on the subject is made available, use graceful language that communicates meaning to readers with clarity and fluency and is error free.  - Continuous improvement : Proactively explore options for improvement and introduce new initiatives by collaborating with the client to identify and develop solutions.  Leadership:  - Supervision: Directly - varies Team Leads, Sr. Executive, Executive, as assigned. Indirectly – provides project based leadership and direction to internal and external project teams.   - Performance Management: Establishes project team goals and objectives. Measures performance against established goals and objectives and develops actionable plans to correct deficiencies.  Budgeting:  - Capital Planning: Manages the development of capital planning forecasts and submissions.  - Expense Planning: Manages the development and control of administrative and occupancy related expense budgets for assigned locations.   - CapEx Budget Management: Assists in the development and control of CapEx budget for assigned location. Participates in the review of CapEx requests and invoices to manage actual expense at or under plan, while supporting corporate initiatives.  Reporting/Working Relationships:  - Position reports to Director - Facilities & Administration. Develops and maintains relationships with clients and business partners including internal teams like IT Team, Finance and PMO. Interacts with all levels of the client. Collaborates with external business partners and vendors.   Requirements:  Education/Training:  - Graduate with relevant experience in a corporate setting.   - Excellent verbal and written communication skills   - Ability to interface with all levels of management  - Strong organizational skills and detail oriented  - Ability to work effectively within a cross-functional team environment, and exhibit a proactive approach to problem solving  - Ability to travel  - Strong negotiating, problem solving, verbal and writing skills, as well as ability to effectively communicate with all levels of the corporate structure are necessary.   - Proficiency in Microsoft Office (Outlook, Word, Excel, Powerpoint, Sharepoint) and project management software is expected.  Experience: 7-10 years of recognized experience.  Other Minimum Requirements (also include essential physical requirements here):  - Physical requirements: Vision, hearing, speaking, comfort with heights and mobility specifically related to travel.
