Our Client is a rapidly growing bio-pharmaceutical company. They are headquartered in USA; and employ more than 1000 people globally. With the global growth plans that our client has, they have expanded operations to India to support projects in Information Technology, Finance, and Accounting streams, as well as multi-dimensional projects across various regions throughout the world. Our Client has set up an offshore shared services center in India-Mumbai which caters to the Group companies across the globe.

Details about the position :

Position : Manager - Admin

Location : Mumbai

Time : 11.00 AM - 8.00 PM

Requisites :

- Graduate in any discipline with 8 - 15 years of experience in setting up and managing the Admin Function

- Ability to work in a high-pressure environment and experience in setting up new facility

- Ability to obtain and analyze facts and precedents in making administrative decisions. Strong attention to detail.

- Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction

- Swiftly refers problems/issues to the appropriate person(s) when necessary

- Works effectively without constant and direct supervision or guidance

- Strong experience in Time Management, Space Management Task Management

Responsibilities :

- Plans and achieves financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances.

- Plan and implement office processes, systems, and layout and equipment procurement & maintain office equipment.

- Understand global processes and work towards aligning the function locally

- Improves program and service quality by devising new applications, updating procedures; evaluating system results with users.

- Understands and execute Admin Compliance that includes Shop and Establishments / Contract Labour etc.

- Establishing and implementing policies, procedures, and work schedules.

- Establishing Feedback Mechanism and analyzing the same with Action Plan.

- Completes special projects by organizing and coordinating information and requirements; planning, arranging, and monitoring results.

- Include local vendor management security, Housekeeping, cafeteria

- To be responsible to identify the right Security partners and establish the right security force for day to day security, leverage right technologies to support safety and security at workplace

- Identify suitable vendor for canteen and ensure running a well-organized canteen. Inspect the canteen processes at regular intervals and through surprise checks to ensure Hygiene and Sanitation. Conduct periodic Account Audits to monitor and regularize canteen expenses.

- Analyze and review contracts w.r.t facility and with all vendors of the organization.

- Domestic, International, Hotel Booking, Forex, visa, insurance

- Supervise transport facility for all including female escort services and drops

- Support in Background verification, Events, Employee Insurance

- Event Management (Town Halls), organizing meetings, conferences, making travel arrangements and hotel reservations for guests & foreign delegates.

- New employee orientation: Induction on admin policies, procedures to new employees

- Manage supplies by identifying needs for reception, switchboard, mailroom, and cafeteria;

- Plan and manage the site asset requirements.

- Maintains administrative staff by recruiting, selecting, orienting, and training employees; maintaining a safe and secure work environment; developing personal growth opportunities.

- Accomplishes team results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
