1. JOB PURPOSE :


To organize and co-ordinate the Travel and Event requirement, ensure implementation of corporate policies, procedures and facilities related support to employees


2. PRINCIPAL ACCOUNTABILITIES :


a. Travel & Event Management :


- Plan, Design and organize events ( viz. star awards, board meetings, event related logistics requirements for Senior management) within the desired timelines and budget, Criticality involves effective pre-plan, organizing requirements within timelines and managing the delivery expectations of senior management and internal/ external stakeholders, Managing budgets


- Liaise with various stakeholders within internal departments and understand their needs, Taking pre-event brief, overall know-how of technical & other key event related portfolios required for preparing event flow


- Conduct market research, gather information and negotiate contracts before closing any deals, Knowledge of venue and resources in domestic market, Build market intelligence in terms of supply and rates by liaise with hotel and event organizers, thorough knowledge of hotel and event contracting, Understanding financial overview of an event and negotiate to achieve best deals


- Organize facilities and manage all event details viz location, d-cor, catering (menu design and buffet spread), entertainment, charting and co-ordinating event flow, transportation, rooming list, invitee/guest list, equipments, promotional materials etc. Effectively pre-plan, manage and operate a portfolio of events of various size and complexity, Having an eye to details, Maintain timelines and priorities on every event ensuring maximum customer satisfaction, reconciling service orders directly after the event for final invoicing


- Ensure adherence to statutory compliance and regulations viz. venue, performance and other related license/permissions required for smooth conduct of the event, Understanding the relevance of various mandatory and statutory permissions required basis the category of event, liaise and influence stakeholders responsible for providing permissions, if required


- Proactively trouble shoot issue / problems arising anytime during the event, Having sound understanding of issues related to event management, come up with innovative ideas to quick resolution of problems


- Propose ideas to improve the event and customer experience, Actively engage with all stakeholders and enrich the customer experience by adding new dimension every time


- Constantly seek feedbacks from stakeholders, review and improve the event related processes - Evaluate performance of service providers, ensuring feedback is provided as necessary.


b. Dining Services (Cafeteria)


- Vendor evaluation and oversee the cafeteria operations at HO


- Ensure smooth functioning of cafeteria and liaise with concerned stakeholders to provide necessary infrastructure support


- Constantly seek feedbacks, review and monitor the satisfaction levels w.r.t cafeteria operations hygiene


- Ensure adherence to statutory regulations w.r.t operational license, food and water quality regulations


- Design the menu spread for the month and have proper quality check mechanisms in place. Provide & organize employee welfare as per policy (Workspace allocation, Tea/Coffee, Drinking water and other soft services)


Employee Relations & inter department co-ordination


4. SKILLS AND KNOWLEDGE


- Graduate/ Post Graduate preferably in Hospitality Management


- Having a Culinary experience or background would be an added advantage


Functional Skills :


- Excellent written and verbal communication in English


- Negotiation Skills


- Planning, organizing and execution


- Analytical orientation is preferable


- Hands on experience in Excel / Word, exposure to accounting package will be preferable


- Relevant and total years of Experience


- At least 2 yrs of experience in Travel & Hospitality Sector is a must


Salary offered : 8 - 10 LPA
