Administration & Facility Management Lead for a client with a global presence based at North India

JOB DETAILS:

Location : North India

Role : Administration

Education : Graduate

CTC : As per Industry Standard

Exp : 12+ years , must have managed large corporates

Working Conditions : Regular, 5 days working

ROLE DEFINITION:

The Principal Responsibilities include providing safe and secure environment to the employees, upkeep of facilities, vendor management, cafeteria management etc. The basic purpose of the job is to provide a comfortable, hygienic, safe and secure work environment to the employees and the general level of responsibility is to provide maximum satisfaction to employees by providing quality services to them. This position makes an interesting career as the purpose of this position is to keep the employees satisfied in all aspects which can be challenging at times, accomplishment of which gives immense satisfaction at personal level as well as a sense of accomplishment.

PRINCIPAL RESPONSIBILITIES:

Maintenance & Up-keep of Facilities:

- Hygienic & pleasant office environment by daily facility round, monitoring of checklists and completion of snags within TAT.

- Daily briefing, on job training & weekly training by external training programme on basic etiquettes, do's & don'ts, cleanliness & hygiene and for housekeeping staff.

- Adherence to statutory compliances of the vendors.

- Quarterly communication on "Keep Your Workstations Clean".

Cafeteria Management - Providing hygienic and healthy food to employees by taking necessary steps:

- On time food arrival, daily food testing and monitoring, quarterly surprise kitchen visit, adherence of compliance, monitoring on daily feedback from employees using feedback device and accordingly taking action on vendors to improve the quality.

- Monthly food festivals and branded food day at the Cafeterias to ensure continuous improvement in employees services & individual experience.

- Ensure value of services is in line with prevailing market standards.

Event Management :

- To ensure successful execution of events like Annual Day, Semi-Annual Day, Festival Celebration like Holi, Diwali, GM offsite, etc. from Security, F & B & Facilities perspective to ensure incident free conduct of events on a stretch level.

Safety & Security of the Buildings, Company Assets, Employees and Staff:

- Ensure no untoward incident related to safety & security of the buildings, assets and employees.

- Provide Safe 'n Secure working conditions and ensure employee awareness & cooperation towards good practices.

- Maintenance & Upkeep of all safety, security & surveillance systems inside the building complexes. adherence to statutory compliances of the vendors.

Facilities Helpdesk Management:

- Facility Helpdesk to ensure prompt responses & quick actions to resolve employees queries & issues and take feedback for continuous improvement.

- Timely closure of employees' requests as per SLA and keeping track to ensure employee satisfaction.

Team Members Professional Development, Mentoring and Motivation & Retention of high performance individuals:

- Regular Team meetings and promoting excellence by training, mentoring & grooming of the team members so that they adapt systematic, structured and solution based approach.

- Promote skip level and one to one meetings to impart proper guidance to all the team members.

- Organize internal & external trainings with support from L & D Team with different topics and other web-based trainings.

- Provide encouragement & motivation to the team members by driving periodic R & R programs for not only the on-roll employees but also the outsourced staff (Security & FM Services) and Drivers

Vendor Management & Cost Reduction Initiatives & Contracts Management:

- Vendor Contract Management as per the T & Cs and SLAs.

- Regular interaction with the vendors to ensure continuous improvement in their performance.

- Vendor Performance evaluation and counselling to ensure excellence & right kind of service delivery.

- Guide the vendors to submit timely MIS Reports as per the prescribed format and get such formats created thru the vendors themselves by guiding them appropriately.

- Vendor Contract Management as per the T & Cs & SLAs.

Transport Management: Cost Effective, Safe, comfortable and Timely Transport Operations, Transport Compliance and Record Management.
