Background :

Heading Operations and you will play a key role in bringing about operational excellence in core areas of driving transformation, building capabilities and driving agility. As a member of executive management that is responsible for maintaining and driving operational results within a company, the Operations Head works closely with the CEO as well as other executive management team members. As one of the most critical and essential positions within an organization, the Operations Head must a skilled communicator, effective leader and driven business savvy person who can spur company growth, maintain key operational procedures, create new processes and ensure day to day operational excellence.

- Manage departments that includes Finance, Administration, Legal, risk compliance, and others.

Finance :

- Bookkeeping queries - Chart of Accounts, expense heads and income heads; departmental P&L

- Inventory related queries - Bill of Material, Normal Loss, Abnormal Losses, Non- Moving Goods, Manufacturing Batches

- Streamline Accounts Receivable automation

- Guide Tally developer on customization of modules as per the requirement of various departments

- Work with Zoho Developer for customizations required in Zoho Invoice module

- Utilize financial data to communicate performance and opportunities for improvement

Supply Chain :

- Streamline dispatch of goods from office -

a. Raw Materials to EMS

b. Finished Goods to Customers

c. Returned Material

- Negotiate contracts with Courier and Logistics partners domestic and international

- Coordinate with Courier / Logistics partners in case of any disputes, delays and resolve them

Deployment :

- Resolve deployment team queries

- Ensure adequate staffing at all base locations

Design :

- Adept at understanding the principals of Plastic Molding for enclosure design

- Good design logic such that it can accommodate past and future PCB designs within the given Design Parameters

- Work with the vendor to resolve any design issues

Administration :

- Look at day to day administration including outsourced functions such as Food, Security and Housekeeping

- Fire safety drill

- Coordinating with building management for any facilities related matters

New Employee Onboarding Planning :

- Ensuring that joining kit are sent to each new employee

- Getting Access Card and ID card printed/configured

Information Technology :

- Work with information technology vendor on matters such as Software Licensing and IT equipment purchase including computers, CCTV cameras, Access Control Systems, Networking equipment, etc.

- Salvage old equipment and ensure repair works are carried out on time to reduce costs

Legal & Risk (Patent, NDA and Contracts) :

- Patent document coordination between inventors and lawyers

- Completion of all supporting documents required for filing of patents

- Review NDAs and get them executed

- Review contracts and get them executed

IATF :

- Responsible for all Administration tasks related to Staff Welfare and Safety as mentioned in the IATF guidelines

- Water, Air, Food quality

- First Aid

- Fire Safety

Marketing :

- Working with the marketing team on building collaterals and preparing for events

- Coordinating for Printing activities

General :

- Create and implement best practice strategy, policies, processes and procedures to aid and improve business performance

- Driving strong customer centricity throughout the back of the house

- Building a culture and the supporting systems for operational excellence

- Driving excellence and achieving quality goals

- Building a strong foundation of systems and processes for organisational efficiency

- Building a flexible backbone which enables rapid scale up of our organization

- Work closely with Human Resource team related to employee onboarding, employee separation, remote working issues

- Organize and execute events in office

Skills :

- Sound understanding of finance, operations and administration with proven track record in managing these in a fast-paced environment

- Exceptional executive presence, business acumen and presentation skills

- In-depth understanding of SaaS invoicing

- Superior problem-solving skills

- Superior leadership skills, with a focus in employee coaching and development

- Advanced excel skills

- Experienced in budgeting with financial focused mindset

Qualifications :

- MBA in Operations and Finance from Tier-1/Tier-2 B School is preferred

- Bachelor's degree in Business or Engineering

- Minimum of 10+ years of experience in a complex IT environment is preferable with understanding of Electronics manufacturing / EMS manufacturing

- Minimum 3 years working as head of operations

- Startup scaleup experience is a MUST

- Exposure to ISO 9001, IATF 16949 and ISO 14001 is desired
