Job Role: Shipping Documentation Head
Job description:
Role & responsibilities:
- Responsible for complete Export Documentation ( Pre & Post-shipment ).
- Preparation of Performa invoices and commercial invoices.
- Submission of documents to the finance department.
- Well versed with export- import documentation, handling of CHAs, Shipping Lines, Freight Forwarding for containers and break-bulk vessels. Thorough knowledge of Shipping, Logistics, Insurance, Customs Clearance & Forwarding, Merchanting Trade, UCP 600, Foreign Trade Policies.
- Experience in Project management tools. Proficient in Microsoft Office/ Project Suite.
- Excellent communication, interpersonal, and leadership skills . Strong analytical and problem-solving skills.
- Plan, organize, and monitor the receiving, shipping, and storage, of all items either from suppliers or production shops ensuring a smooth and consistent operation so parts and supplies are located and distributed to proper departments in an effective and efficient manner as needed to satisfy internal and external customer requirements.
- Plans and coordinates work, trains and motivates, monitors and evaluates the performance of team members; ensures their ability to safely operate material handling equipment to move materials to and from storage configurations.
- Monitors the unloading or loading of all materials into or out of the facility. Supervise the movement of material to and from storage efficiently, effectively, and safely.
- Identify and eliminate safety and housekeeping hazards to minimize workplace accidents
- Other duties as assigned e.g., reporting
- Plan and book freight for international and third country origin shipments using various modes of transportation.
- Negotiate rates and contracts with shipping and logistics providers.
- Supervise & review all shipping and export documents, such as commercial invoices, packing lists, bills of lading, certificates of origin, and customs declarations.
- Communicate with clients, suppliers, freight forwarders, customs brokers, and other parties provide updates, resolve issues, and ensure customer satisfaction.
- Track and monitor the status and location of shipments using various systems and tools.
- Maintain accurate records and files of all shipping and logistics transactions.
- Analyze shipping and logistics data and performance identify areas for improvement and cost reduction.
- Assist in the development and implementation of shipping and logistics policies and procedures.
- Comply with all applicable laws and regulations related shipping and logistics.
Skills Required
- Bachelors degree with equivalent work experience.
- Minimum 1 to 17 years of working experience in a shipping company or sea logistics firm involving freight booking, marketing, and agent communication.
- Proficient in Microsoft Office and other relevant software applications.
- Knowledge of shipping and logistics terminology, processes, regulations, and best practices.
- Excellent communication and interpersonal skills in English is a must.
- Attention detail and accuracy in reviewing documents.
- Ability to work independently and as part of a team in a fast-paced environment.
- Problem-solving and analytical skills.
