About the Client - One of India's leading law firms with offices in major metros and 500 + lawyers
Key Functions -
1. Oversee operations of the business support functions - Admin, IT, HR, BD, Billing and Accounts across all offices and all locations - Mumbai (3 offices), Pune (1 office), Bangalore (1 office) and Delhi (3 offices)
2. Be the point of contact for senior management
3. Alter and define, as necessary, the job profiles of the function heads and the support teams. Ensure the tasks, timeline and performance expectations are clearly outlined and understood by everyone on the support teams
4. Create and maintain budgets for every function and track usage against the budget through the year. Oversee and maintain visibility of all expenses and approve all invoices before being processed for payment by the Accounts team
5. Identify potential and opportunities to build efficiencies. Identify issues and design resolutions and workarounds to the same
6. Strategise the development of IT architecture from the perspective of compliance, information security and business efficiency. Identify and evaluate newer technologies to be adopted. Prepare the cost benefit analysis. Oversee commercial negotiations. Govern the projects from a program management perspective
7. Evaluate options for cost optimization including annual renegotiations with the existing service providers and product partners
8. Oversee the MIS function and identify metrics to be reported. Evaluate MIS automation potential. Evaluate potential for - slice and dice- capabilities
9. Oversee reporting of key parameters to the senior management. Obtain necessary reports from the respective business support teams to keep the operations and expenses in sight across all locations - Mumbai, Pune, Delhi and Bangalore
10. Oversee major administration projects like new office movements or major office renovations
11. Oversee arrangement for major social events planned in the office and ensure compliance with the regulatory requirements
12. Oversee the function that is responsible for the upkeep of all the offices. Oversee the efficacy of the operations at each of the offices across operations like security, pantry, housekeeping, facilities management, etc.
13. Participate in resolution of major IT issues if the IT team cannot find a resolution. Manage escalations about any of the business support functions
14. Respond to client questionnaire with regards to infrastructure, business support services, policies and procedures, IT architecture and capabilities, information security architecture, professional liability, etc.
15. Maintain the necessary documentation across all the above responsibilities.
Requirements -
1. The person should have 10-14 years of experience in a law firm (non-client facing) or a consulting role in any industry where she / he would have had exposure to all the support functions of an organization
2. Confident demeanor and immaculate written and spoken communication skills are a must
3. Should have a good understanding of technology and finance
4. Should have broad minded thinking ability to enable strategizing across various functions. Should be willing and able to be hands-on and get into execution of activities
