We are at present having a senior position as HEAD CORPORATE ADMINISTRATION (AGM / DGM) for a reputed Indian EPC company for THEIR CORPORATE OFFICE in KOLKATA location

Purpose:

The main scope of the role is to provide facilities and services to the employees at non-plant location at optimum cost. Provide project management support for internal fit-ins, new building constructions, office relocation and small office renovation work in alignment which the organisation expansion plans.

Direct Reports: Senior Manager - Administration

Major Responsibilities and Accountabilities:

- Understand the infrastructure needs from internal stakeholders and work with various external authorities and consultants to meet those expectations and needs.

- Ensure health & hygiene at workplace and enable to create a conducive work environment.

- Ensure qualitative and timely availability of soft services in Kolkata and Regional Offices, like catering & canteen services, tour & travel services, housekeeping & security services, proper workstations & storage area, telecommunication and guest house services, horticulture, etc.

- Oversee the procurement of materials needed for construction. Create the tender document to be shared with the procurement team for contractor evaluation and negotiations.

- Discuss with the vendor to create the project plan with timelines and deliverables, including material specifications and monitoring for deviations. Ensure adherence by the vendor to the contractual terms and monitor any deviance from the agreed upon terms.

- Oversee post project execution such as setting the defect liability period for the construction, assetisation of assets in the premises, escalation matrix, warranty period of items etc. within the timelines stipulated in the project plan and as per regulatory guidelines.

- Support contractual workforce management to enable smooth functioning of administrative activities. Ensure compliance to all regulatory and contractual obligations to the workforce while ensuring effective sustained daily operations for the administration function.

- Ensure continuous compliance to regulatory norms in the premises. Identify deviations and quickly address the same through timely mitigation plans.

- Monitor and oversee the strict adherence to the SOPs set to practices across the facility. Check for deviations in practice and address the same to ensure it does not occur in the future.

- Monitor complaint and feedback mechanism on day-to-day administrative services provided. Ensure timely resolution of complaints and strive for Internal Customer Delight.

- Team management & development, manpower rationalisation, training and development of support groups like Canteen Boys, Security, Housekeeping staffs by external agencies and / or internally.

- Liaise with various governmental and semi-governmental agencies including Municipal Corporations, Labour Department, Fire Authorities, Electricity Boards, Police Authorities, Public Health Engineering, Irrigation & Waterways, Agriculture, & Disaster Management Departments, etc.

- Support the Business Development Team wherever direct/ indirect Government support is required to further the business interest of the Company by using the network in various government bodies and agencies.

Qualifications

Regular, full-time postgraduate or equivalent degree in Human Resource Management / Personnel Management from an institute of repute. Defence/ Engineering background will be an added advantage.

Experience:

Around 15- 20 years of experience in core Administration Function out of which five years should be in team lead position leading the Administration Function of a large organisation

Knowledge:

Knowledge about the various administrative areas and the relevant statues.

Familiarity with Property Laws and other relevant laws of the land.

Skills & Behaviour:

- The incumbent needs to be a strong leader with an ability to drive various administrative change initiatives in the organisation.

- He must have good commercial acumen, quality focus, be a persuasive communicator, possess excellent analytical and problem-solving skills and be capable of thinking strategically.

- He should have an excellent man-management skills and building relationships, especially with external and internal people, at the senior level.

- Identifying opportunities and innovating for the good of the whole organization
