Head - Billing

- To achieve continuous improvement in invoice quality, adapt the best practices followed in the Industry, Generate Invoices by 4th of every month for the previous months transactions and to achieve results that are recognized as best in class.

Objective / Purpose of the Job :

- To manage the Billing Team in order to ensure clean invoices are produced every time and all the time, to Ensure that all our customers get the correct invoices in a timely manner (By 4th of every month). Also to deliver best in class billing

- Efficiency and adaptation of the latest practices followed in Billing by the Industry.

Measurements :

- 98% all billing data available for invoicing within 48 Hrs of pick up.

- 1% Uninvoiced revenue at month end

- 5 % of consignment data changed prior to billing

- 1 % of canceled consignments

Key Activities / Accountabilities :

1. Resource Management :

- To effectively staff and monitor resources in order to meet and exceed internal & external service levels at all times.

- Ensure the billing team is adequately/sufficiently staffed/resourced.

- Monitor effectiveness of the resources & Billing systems and take appropriate actions to rectify it.

2. Billing Management :

- Manage Quality of the Billing data.

- Ensure reconciliation is performed between shipped/transported vs Billed consignments.

- Ensure Billing systems are maintained effectively & accurately.

- Ensure completeness of consignment data for invoicing.

- Support other departments for swift resolution of queries.

- Manage the relationships with external suppliers, such as invoice printing & mailing vendors by monitoring and maintaining agreed service levels.

Process Improvements :

- To monitor and analyze billing processes and activities in order to continuously action issues and improve efficiency and effectiveness of the processes.

- Monitor quality, efficiency, and risk to ensure controls are effectively in place and implementing corrective actions where appropriate.

- Identify and correct weaknesses in process or system efficiency

- Provide performance management reports to superiors in a timely manner

People management :

- To lead, motivate and empower the staff through effective & open communication, excellent leadership, regular performance feedback and team building in order to maximise customer satisfaction, business results & employee satisfaction.

- Ensure the compliance with formal recruitment procedure, with Human Resources.

- Ensure effective communication and dissemination to all staff in Billing team.

- Through training & coaching, ensure that staffs are equipped with the right skills, knowledge competencies.

- Establish a coaching mindset and culture in the team by ensuring that regular and effective coaching is in place for all employees and supporting the Asset Managers in their coaching practices.

- Ensure that the correct process of employee counseling and/or discipline are in place.

- Implement challenging but achievable reward and recognition schemes, in collaboration with Human resources, which will help to create highly motivated staff and to reward excellent performers through both financial and nonfinancial means.

- Prepare the frame works for a succession plan.

- Actively measure and analyze employee retention rates and feedback gained from exit interviews, to understand and act upon the factors affecting employee retention.

- Conduct regular group reviews with Billing team to assess the team performance and progress against the objectives set.

- Comply with all company related policies, procedures and legal requirements (HR, Health & Safety, Security, Legal etc).

Project work :

- To contribute to the effective rollout of Regional/Zonal or cross-functional projects, through contribution of professional expertise

- Manager Internal Billing Projects.

- Ensure achievement of action points assigned.

- Ensure the involvement of those with appropriate expertise & accountability.

Salary Offered: 12 - 15 LPA
