One of the leading company in BFSI sector is looking for "Head Of Administration"
Reporting : COO
Location : Mumbai
Key Responsibilities :
General Administration and Facilities Management :
- Plan and coordinate administrative procedures and systems and devise ways to streamline processes
- Monitor administration activities including office facilities, transport facilities, security services, etc.
- Oversee facilities services, maintenance activities and tradespersons (e.g. electricians)
- Organize and supervise other office activities (recycling, renovations, event planning etc.)
- Keep abreast with all organizational changes and business developments
Cost Control & Regulatory Compliance :
- Responsible for Monitoring Cost and Analytics on cost pertaining to Administration, Infrastructure and Procurement
- Selection of Vendors for various General Administration functions Pan India
- Manage sourcing and AMC, work and rate contacts with target based budget and cost controls
- Look after and Renegotiate cost of all the office maintenance & Cafeteria vendors, warehouse & record keeping arrangement.
- Leave & Licensing arrangements
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
- Monitor costs and expenses to assist in budget preparation
- Identification and realization of cost-saving and cost-reduction opportunities
Procurement :
- Development of organizational procurement strategy
- Management of business process outsourcing activities
- Selection and management of procurement systems
- Management of procurement staff in (and across) sourcing, contracting, transactional purchasing, supplier management, and miscellaneous internal procurement support activities
- Negotiate with external vendors to secure the most advantageous terms
- Perform risk management regarding supply contracts and agreements
- Control spend and build a culture of long-term saving on procurement costs
Infrastructure Management :
- Ensure comprehensive disaster recovery architecture is maintained and operations are in place to ensure compliance for business continuity events
- Develop RFPs
- Coordinate project/resources requirements with the IT and other teams
Role requirements :
Work experience : Min 10 -15 years- experience
Technical Skills :
Proven track record and experience in;
- Administration & Facility Management
- In-depth understanding of office management procedures and departmental and legal requirements
- Familiarity with financial and facilities management principles and regulatory requirements
Additional Desirable Skills :
- An analytical mind with problem-solving skills
- Excellent organizational and multitasking abilities
- A team player with leadership skills
