Senior Manager - Administration

About the Role/Opportunity :

- The incumbent will be heading the Administration Team for Groupon India

- The work location would be Delhi/Gurgaon

Job Summary :

The individual will be heading the Administration Function for Groupon India and will have a small team assisting in this task. There will be local Administration professionals across the bigger offices in the country and they will report into the individual. End to end accountability of managing the Admin related activities PAN India would be the job role in a nutshell.

The detailed tasks that would be associated with the role are given below. While the role would involve ensuring that the tasks (mentioned below) are executed across offices by the team on the ground, constant governance of the same and ensuring on time execution (within allotted budget) would be the key responsibilities.

Tasks would include (do note that these would need to be governed for all offices across the country):

PAN India Administration :

- Heading the Administration function for Groupon India. Govern and plan all activities related to administration on PAN India basis

- Taking management approvals of the requirements raised by the offices and facilitating the services or the purchase for the office by following prescribed procedure of the company

Office Lease and Licensing :

- Keeping records of all leases and licensing agreements of all the offices

- Incase of expansion, to be responsible for identifying, shortlisting and finalising premises for new office spaces and manage the transition project end to end and executing lease agreements

- Executing interior and allied work for the new offices

MIS and Budget :

- Compiling of regular reports of admin activities (Admin Report) and sending it to concern authorities (CFO/Finance team)

- Monthly compilation of detailed MIS of complete admin activities and their costing and comparison of its variance against the given budget

Vendor Management :

- Finding, Shortlisting and Selecting vendors for all admin related services and procurements

- Negotiations and selection of best fit vendor for best possible services or product at optimized rates

- Timely collection of bills, their processing and payment of the vendors

Office Management :

- Incharge of office renovations/interior design/Layout

- Workstation and system allocation

- Handling stationary and printing requirements

- Security and handling security related issues

- Handling all statutory compliances related to lease deeds, security, office regulations and man management

- Handling petty cash of urgent and miscellaneous expenditures

Tours and Travels :

- Set up the travel desk for the firm (At the moment this task is done on an ad-hoc basis)

- Handling the complete travel desk of the company which includes booking of tickets (air &train), hotel booking and cabs of the employees as per tour policy of the company

- Liasoning and Booking of hotels for employees in India

Asset Management :

- Maintenance of all company assets and monitoring & facilitation of servicing and repairing of assets as per annual maintenance register

- Handling insurance of assets and their claims, if required

- Coding and recordkeeping of assets

Keen Interest in Employee Well being :

- To ensure that high standards of quality are maintained irrespective of the task at hand

- No compromise on hygiene and all initiatives to be aimed at improving employee experience (health and work environment)

- To be proactive in terms of enhancing employee experience at workplace (eco-friendly settings, well stocked pantry, etc.)

Individual applying to the role should ideally have the following attributes :

- Experience should be in the range of (7 - 12) years with recognized expertise in the field of Facility Management & administration and a relevant degree (Bachelor or Masters degree)

- Unblemished track record and high levels of personal integrity The individual should be trustworthy and conduct himself/herself in a professional manner at all times

- Should be flexible to travel across the country (for setting up new offices)

- Should have good mathematical/computational skills

- Strong and innovative approach to problem solving and finding solutions

- Flexible and proactive/self-motivated working style with strong personal ownership of problem resolution

- Ability to multi-task under pressure and work independently with minimal supervision.

- Ability to prioritize when under pressure
