- Heading Admin & Facilities Function for multiple office and multiple cities.
- Facilities Management
- Handling facilities viz., Fire Fighting Equipment,
- Electrical Installations & Power Backup Generators and Lifts etc,
- Air-conditioning Systems.
- Housekeeping.
- Physical Security,
- Building Management System (Access Control System, CCTV, Fire fighting Systems, P.A., Fire Alarm & suppression system - VESDA/NAF etc)
- General maintenance & upkeep of Office Equipment's like P.C., Servers, Switches, Printers, Fax Machine, and Xerox Machine, etc.
- Co-ordination with Building Maintenance Agency /Landlord.
Contract & Operations Management
- Managing lease contracts for PAN India
- Annual Maintenance Contract Renewals
- Handling overall Purchase (Technical & General) & Vendor Development inclusive of calling Quotes, preparing comparison charts, negotiation & evaluation of vendors, placing order and ensuring timely execution.
Compliance, Audits & Quality Management
- Getting Certification for ISO 27001, ISO 9001 for Gurgaon location, Internal and External Audits for ISO 9001 & ISO 27001.
- Conducting Evacuation Drills and BCP & DRP tests for Admin Functional KRA's with other Functions to test effectiveness of Disaster Recovery Plan
MIS & Budgeting
- Preparing Annual Administration budget & sending the MIS reporting.
Project Management
- Identification of Location, evaluation, Commercial Finalisation, Project Planning with Milestones for Tracking and reporting.
- Executing infrastructure development projects for implementation & Up gradation of facilities needs, from finding facilities to project management and handing over facility to Operations.
- Heading the entire gamut of activities for setting up facilities with complete interior and LAN networks covering the area of 100000 Sq. Ft.
General Administration
- Handling Cafeteria and organizing with the caterer for meals served to staff in different shifts, Up Keep of Tea & coffee vending machines, ensuring the Quality of Food Served to Staff.
Transport Management
- Coordinating with transporters to ensure that all cabs report on schedule time,
- Optimizing transport planning for cost effectiveness
- Providing breakdown & Emergency assistance.
Liaison Work
- Interfacing extensively with Excise and custom, PCB, SEB- s, DOT, MTNL, V.S.N.L., MCD, Police, labor department, PF & ESIC Office as well as other external agencies.
Event Management
- Organising Parties & Conferences based on operations requirements.
- Organised Road Shows for HR campaigns. Employee Open Houses.
- Team Building Trips.
Insurance Management
- Taking necessary insurance cover for human and material resources comprising Office Assets, Mediclaim, Personal Accident cover
- Handling claims proceedings.
Guest Relations
- Organising Visa, Forex, Air, Train tickets, International sim & data cards for employees travelling within and Outside India.
- Arranging Hotel accommodation & Cabs based on travel plans.
