At All Stages :

Principal Role :

- Establish and manage systems and procedures to meet all project objectives

Manage key Corporate Services project processes, with particular emphasis on :

- Client interface and approvals

- Value and risk management

- Specialist consultant selection and fee management (when required)

- Monitoring the activities and performance of all other consultants / participants

- Ensure full documented close-out of the project through project manager.

Interface :

- Attend meetings called by Deutsche Bank (DB) to progress any aspect of the project. Provide / manage availability of information as requested by any of the various DB work streams to other DB work streams and/or any other participant.

- Initiate and maintain liaison in order that Corporate Services is kept fully informed on the progress of the commission.

- Communicate the development of the project to all stakeholders through appropriate management processes and procedures including chairing and preparing documentation (minutes) of regular client meetings.

- Assist the Project manager (as required) for all approvals in accordance with DB's approvals processes.

Participate :

- Advise on the need for and scope of services of other specialist consultants that may be required

- Monitor the performance of all participants and report on a regular basis

Processes :

- Ensure that the project team comply with the standard DB's Project Governance Process.

- Produce Project Launch Plan indicating structure of Project Team and resources to be committed at each stage

- Monitor Corporate Services project programmes showing all significant activities and events

General :

The duties described below shall be selected where applicable to reflect the scope of duties for the particular project.

FEASIBILITY STAGE & TENDER STAGE :

Client Interface and processes :

- Provide updated Project Reports including but not limited to Corporate Services Monthly and Fortnight Reports.

- Assist Corporate Services in preparation of Steering Committee reports and presentations.

- Monitor analysis of project risks.

- Prepare draft Project Launch Plan ensuring an effective management framework for project.

Design Brief & Documentation :

- Review and confirm content of Design Brief with Corporate Services.

- Obtain and analyse existing information and put forward any required proposals for any further surveys and investigations.

- Coordinate / Monitor for the sign off all Corporate Services approvals on the Project Design Brief.

- Oversee the preparation of the complete final project brief, resolving any errors, omissions and conflicts

External Bodies :

- Participate (as required) in negotiations with landlords or tenants or other agencies identified by the Corporate Services.

DESIGN & PROCUREMENT STAGE :

Corporate Services Processes :

- Coordinate with the Project manager for the finalization of the Project Execution Plan.

- Manage the implementation of the Project Execution Plan ensuring continuous control and communication of management processes.

Design & Documentation :

- Assisting Project Owner to Establish and manage procedures for development of a co-ordinated detailed design from approved scheme design in accordance with the project brief and cost estimate. Establish and manage procedures for preparation of the Design Validation Report and submit to Corporate Services for approval.

- Assisting Project Owner to Establish and manage procedures for preparation of a detailed programme (by the project manager) for the release of production information and monitor work against this. Establish and manage procedures for the co-ordination of the design between different design disciplines and specialist contractor inputs.

- Assisting Project Owner to Monitor the procedures (being followed by the Project manager) for obtaining Corporate Services approval to the type of construction, quality of materials and standard of workmanship.

Cost Planning & Control :

- Prepare and implement change control procedures

Vendor Procurement :

- Assist Corporate Services and coordinate with Global Purchasing and Supply Chain Management (GPSCM) to ensure all procurement activity on the project complies with DB Policy.

- Prepare tender recommendation and maintain the records of approval from requisite people

- Assist Project Owner to Manage the review and analysis of tenders (Corporate Services specific items) and assist in the initial Bid Recommendation Report

- Assist Project Owner in procedures for preparation and agreement to the final Bid Recommendation Report

CONSTRUCTION STAGE :

Corporate Services Interface & Processes :

- Prepare formal monthly progress reports monitoring the performance of the project (using standard DB format when requested) -

- Assisting project owner to Establish and manage procedures for immediate reporting on the following;

- performance of the Vendor where this is likely to affect the design, programme or cost of the work

- any disputes, arbitration or terminations

- actions or incidents likely to affect safety or security

- Manage procedures for applying client permit to work systems where no current system exists.

- Assisting project owner to Establish and manage procedures for implementation of the plan for handover of the project at completion of any relevant phases.

Design & Documentation :

- Assisting project owner to Oversee and monitor procedures for preparation of schedules of conditions where work is being carried out to existing facilities, including photographic surveys.

Cost Planning and Control :

- Assisting project owner to Review and certify progress payments and update cost report

Administration :

- Participate in meetings with the contractors and consultants as required to review progress and identify information requirements

- Visit the site at intervals appropriate to the stage of construction to inspect the progress of the works

COMPLETION & HANDOVER STAGE :

- Assisting project owner to Undertake post completion review of the performance of service partners/ suppliers, prepare and submit formal report

- Assisting project owner to Undertake post completion review of project to enable future improvements to delivery process and prepare report

- Assisting project owner to Oversee the finalization of Project Close-out Report.

- Assisting project owner to Oversee satisfactory completion of outstanding items and resolution of any problems which may arise during the defects liability period

- Assisting project owner to Agree and assist in preparation of final account for the project

- Assisting project owner to Oversee the procedure (as formulated by the project manager) of making good defects and final completion in accordance with any contract requirements relating to completion, submissions and approvals

- Assisting project owner to Oversee and monitor procedures for preparation of taxation reports allocating and recording project costs within tax categories
