Facilities Head - pan India

Job Purpose:

To assure effective functioning of facilities and to provide an efficient and safe working environment for employees and their activities. To be able to use best business practices so as to manage resources, services and processes well so as to meet the needs of the organization

Job Responsibilities :

Maintenance & Facilities :

- Develop and implement a facility management program including preventative maintenance and life-cycle requirements PAN India

- Conduct and document regular facilities inspections at all units

- Ensure compliance with health and safety standards and industry codes

- Allocate and manage facility space for maximum efficiency

- Plan and help coordinate intra-office moves/logistics

- Supervise maintenance and repair of facilities and equipment

- Oversee facility refurbishment and renovations

- Plan and manage facility central services such as reception, security, cleaning, catering, waste disposal, parking, and valet

- Implement best practice processes to increase efficiency at units

- Obtain quotes and tenders from vendors and suppliers

- Calculate and compare costs for goods and services to maximize cost-effectiveness

- Negotiate contracts to optimize delivery and cost saving

- Coordinate and monitor activities of contract suppliers

- Manage contractor and vendor relationships

- Manage and review service contracts to ensure facility management needs are being met

- Ensure delivery schedules, quantity and quality criteria are met

- Check completed work by contractors and vendors

- Verify payment and invoicing match contract pricing

- Plan and monitor appropriate facility management staffing levels

- Ensure efficient utilization of facility maintenance staff

- Performance manage, develop and train staff

- Prepare and track facility budget

- Monitor expenses and payments

- Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures, and purchases

- Develop and implement cost reduction initiatives

- Advise on and monitor energy efficiency

- Oversee environmental health and safety

- Assure security of the facility

- Respond to facility and equipment alarms and system failures

- Provide systems in units such that prompt response is give to requests

F & B :

- Maintain excellent levels of internal and external customer service

- Timely reports to the management regarding sales results and productivity

- Design exceptional menus, purchase goods and continuously make necessary improvements

- Responsible for ensuring the highest level of service by overseeing all aspects of service and service staff during operating hours

- Provide and ensure a clean and safe work environment for all service staff

- Ensure financial goals for sales and expenses are met

- Establishing targets, KPI- s, schedules, policies, and procedures for the entire vertical

- Comply with all health and safety regulations

Security :

- Develop and implement security policies, protocols and procedures

- Control budgets for security operations and monitor expenses

- Recruit, train and supervise security officers and guards

- Attend meetings with other managers to determine operational needs

- Plan and coordinate security operations for specific events

- Coordinate staff when responding to emergencies and alarms

- Review reports on incidents and breaches

- Investigate and resolve issues

- Ensure expenses are in line with the budgeted numbers.

- Create reports for management on security status

- Analyze data to form proposals for improvements (e.g. implementation of new technology)

Landscaping / Gardening :

- Establish landscape, gardens and ground maintenance service strategies.

- Develop and establish effective landscape, gardens and ground maintenance solutions inclusive of techniques and processes.

- Improve the aesthetic appeal of the surrounding environment to complement existing architecture, and ensure longevity of the grounds

- Exhibits a passion for the role and responsibility, in line with the demands of the position

Fire Safety :

- Actively involve in developing and implementing suitable procedures, standards, guidance, information, checklists, and database records, that comply with relevant fire safety, health & safety legislation and guidance

- Reports serious breaches of fire safety to the Management and liaise with the appropriate officer responsible for resolving the incident.

- Act as a liaison with the State Fire office and confers with local officials concerning fire safety issues.

- Ensure new construction and renovation projects/ building plans are in compliance with safety codes and state laws.

- Keep abreast of fire related laws, codes, policies, etc.

Housekeeping :

- Maintain the housekeeping budget, providing billing summaries and expenses for all pre and post events.

- Uphold the highest standards of cleanliness, safety, and conduct

- Ensure housekeeping procedures and training checklists are in place, maintained and adhered to.

- Ensure team is trained, motivated and focused.

- Monitor guest satisfaction and address feedback efficiently and effectively for the benefit of guests, owners and coworkers.

- Create accurate budgets, manage labor, conduct regular inventory checks& audits, and develop progression plans

- Coach and manage job performance and conduct regular reviews

- Report deficiencies in a timely manner and maintain detailed logs

- Coordinate with vendors and suppliers to ensure focus is on cost saving measures and quality products

- Ensure deep cleaning project tracking & accurate billing is in place.

- Participate in regular team meetings and promote an open door policy

- Work and communicate in a professional manner, assisting as necessary to develop team spirit and to achieve standards of work and guest care.

- Maintain a clean and well-organized work area.

- Ensure policies and standard operating procedures are followed consistently and look for areas of opportunity

Parking / Valet :

- Ensure smooth functioning of valet service

- Design an effective process to handle customer grievance

- Provide monthly reports on valet revenue
