Job Title : Lead HR Operation

Reports to: Head - HR SS / HR Tech / HR Ops

Function : Human Resource

Location : Mumbai Central

JOB DESCRIPTION :

To create - One-Stop- service centre that provides full range of administrative services that includes payroll, exit formalities, staff benefits and entitlements, staff attendance management, administration of the organizations insurance policies and pension's schemes, payroll processing, accurate and timely provision of HR to ensure timely disbursement of employee salaries

Accountability Cluster :

- Plan and maintain payroll process activity every month by functioning as single point contact between respective Business partners, accounts and vender to enable accurate and timely pay out of salaries for Cipla, Associate Companies, Outsource Staff & International Employees.

Major Activities / Tasks :

- Accurate and timely processing of payroll for Cipla, Associate companies, Outsource Staff & International employees

- Co-ordination with Vender, accounts, business partners to ensure complete adherence to payroll schedule.

- Validation of payroll inputs and sharing it with vendor

- Validation of top management salary variation

- Monitor income tax proof submission process and resolve queries related to.

- Give correct funding instructions for salary payment date

- Timely submission of Salary & F&F JV to accounts and resolve any discrepancies

- Validate and share monthly statutory deduction files in defined format to respective stakeholders to enable them to make timely payments to avoid non-compliance.

Major Activities / Tasks :

- Validate the monthly statutory report and share with respective location/business in defined timeframe.

- Resolve accounts queries related to statutory reports

- Create and Follow the yearly schedule of different statutory deductions across India.

- Monitor entire PF Trust Administration process by reviewing timely settlements of PF & Pension dues, PF transfers along with monthly PF Trust compliances with the help of vender.

Major Activities / Tasks :

- Monitor and ensure timely settlement of PF withdrawal, Pension Withdrawal for all Cipla employees.

- PF nomination updation

- UAN updation and providing necessary information to generate the same.

- Validation of all the PF documents submitted for processing, then sending it to vendor for processing.

- Ensuring timely submission of monthly PF Trust and Pension payments.

- Ensuring timely submission of monthly PF returns.

- Monitor vendor and ensure total compliance of PF Trust activities.

- Manage PF inspections done by government officers

- Resolve accounts quires related to PF funds booking

Issuing COC certificates to seconded employees

- Monitor accurate validation process and enable timely payments of Field reimbursements with the help of vender and provide monthly analysis to business.

Major Activities / Tasks :

- Maintain accuracy in all the reimbursements made to employees.

- Follow the process as per defined policy

- Monitor employee quires

- Monitor implementation of the new reimbursement process as per business requirement.

- Control Time and Attendance process by ensuring alignments of different locations time office processes as per policy to facilitate smooth operations.

Major Activities / Tasks :

- Review of new requirements of business and implements required one.

- Maintain uniformity and discipline in process

- Suggest improvement in current process

Implement and review new policy changes in process.

- Develop accurate and speedy full and final settlement process by doing process improvement to ensure speedy settlements of employee's dues.

Major Activities / Tasks :

- Improve settlement TAT

- Automate the manual interventions in the process.

- Resolve quires from Accounts and respective NOC clearance stakeholders.

- Provide monthly MIS on the process

- Monitor Bonus and Exgratia calculation by validating the calculation data to ensure error free and timely payment.

Major Activities / Tasks :

- Ensure bonus payment is calculated as per notification received from government

- Plan and execute Bonus and Exgratia payments to Cipla, Associate companies & outsources staff at one time.

- Provide cost impact analysis to accounts

- Ensure implementation of new amendments as per government notification

- Monitor Mediclaim and Wellness process by doing monthly review of complete process to ensure quick Mediclaim settlement and good wellness initiatives for employees.

Major Activities / Tasks :

- Review current process and identify the areas for improvement

- Ensure quick resolutions of employees query

- Implements new wellness plans across Cipla

- Review vendor and his performance

- Develop complete automation in HR operation by implementing systems in process to improve process efficiency and remove manual interventions.

Major Activities / Tasks :

- Identify areas where automation can be done

- Prepare plan and implement the same after sign off from respective stakeholders

- Implement HR Shared Service module by ensuring alignment with implementation plan in order to facilitate stability to new initiative.

Major Activities / Tasks :

- Understand the implementation plan and execute as per requirement

- Ensure smooth transition of de-centralised processes to centralised processes

Educational qualifications: MBA HR

Relevant experience: 10 + years in HR operations
