Job Responsibilities :

- Responsible for leading and directing the Administration function of the Bank and ensure the provision of high quality and sustainable support and assistance to all employees to effectively support and enhance business performance.

- Would lead and manage the development and execution of the Procurement strategy across Bank and also implement a Bank wide security program to ensure security of Bank facilities, infrastructure, office supplies, assets and IT/ computer systems.

Administration (Procurement, Infrastructure Management and Office Supplies) :

- Ensure that the Administration & Procurement strategy and related strategic plans are developed, implemented and are aligned with the vision and mission of the Bank

- Develop and oversee the implementation of division policies, procedures and controls covering all areas of Administration & Procurement division activity so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service to employees

- Oversee the consolidation and recommend the Administration & Procurement division budget and monitor the budget to ensure adherence.

- Oversee branch build out including identification of office space, leasing negotiations, premises furnishing, etc.

- Manage the Bank's administrative services activities with respect to facilities management (housekeeping, maintenance, repairs), security, travel & transportation, catering, medical Services, guest houses, etc.

- Provide administrative support (Transport, Travel, Mail management, Stationary etc.) to the entire Bank

- Oversee all administration related activities including facilities management, office space, supplies infrastructure, help-desk, security and ensure all operations are executed as per the department's policies and procedures

- Ensure optimum stock levels of cheques, passbooks, vouchers, application & other forms, etc.

- Oversee operations of the Sourcing & Supplier Management function to ensure that material and service requirements of the bank are met in a timely, efficient, effective and ethical manner

- Report and make recommendations to senior management regarding projects and management strategies as it relates to business facilities and security processes

- Review and manage all operational management systems including preventive and corrective maintenance, term contract works, unscheduled maintenance

- Check the service quality and costs of outsourced services and take corrective actions wherever required to ensure that service providers meet the required quality and cost standards set as per the contract.

- Manage property leases and ensure that documentation of the same is in order

- Oversee the maintenance and upkeep of all offices and Bank branches

- Collaborate with HR to develop an on-going program to ensure employee awareness and compliance to Bank Health & Safety and environment and security policies

- Coordinate with concerned departments and direct overall purchasing processes and drive standards where applicable to gain efficiency throughout the Bank

- Ensures adherence to administrative budget including capital expenses

- Conduct safety inspection and ensures adherence to safety and security standards

- Develop short and long-term procurement strategies and follow up on the implementation to ensure alignment with the requirements of the Bank

Security :

- Provide Bank wide leadership and direction in all areas of security, loss control, security best practices and implementation of various programs and initiatives

- Develop security framework and guidelines for the Bank; ensure implementation of overall security arrangements and ensure adequate security manpower across all offices and branches

- Provide advice to senior management on security policy and practices; identify exposure to risks and recommend corrective plans

- Define criteria for empanelment of security agencies/ vendors for the Bank and develop guidelines for selecting vendors for purchase and maintenance of security infrastructure

- Conduct periodic review of security agencies and vendors used by the Bank across states to ensure availability of adequate manpower with required credentials

- Investigate any security related complaint received from any office, branch or field for the Bank

- Ensure adequate security infrastructure for all cash related services including vendor management

People :

- Ensure that the employees within the Division maintain the highest standards of professional conduct, ethics, integrity, and control in execution of all their daily operations

- Drive a performance driven culture in the team by timely monitoring, review of performance parameters and feedback to the team members

- Take overall responsibility for identification of training needs and completion of mandatory training programs/certifications for self and reportees

- Mentor and coach subordinates to develop the team's capabilities and build a robust succession pipeline

- Ensure that the all the departments reporting to him/her are adequately staffed as per the manpower requirements

- Ensure high level of employee engagement and retention of key performers.
