Responsibilities of Junior Legal Ops
- Creation of Legal Purchase Orders (POs), Amendments and Closures throughout the legal matter lifecycle, including supporting with manual remediation activities as required
- Support with the end to end Procure To Pay process and manage queries from both internal teams and external vendors, especially in a change environment
- Be responsible for operation of all control requirements pertaining to PO creations, Amendments & Closures, and Invoice approvals on behalf of lawyers
- Drive invoice processing to ensure PO utilization is up to date and PO balances are reflective of committed work
- Ensure both operational and business reporting for assigned areas are delivered accurately and with good quality commentary
Responsibilities of Senior Legal Ops Manager
- Accountable for oversight of the Remediation Team and for delivery of Procure To Pay services for legal portfolios through the Remediation team
- Effective management of the end to end process with regards to PO creation / amendments / closures and invoicing of legal POs, especially in a change environment
- Portfolio based reporting of Purchase Order lifecycle and associated invoices, including visibility on progress of manual workarounds in the Project environment
- Support the Remediation Team with escalation items with regards to query management from both internal teams and external vendors, including assistance with navigating the end to end process
- Partner seamlessly with the in-situ Legal Operations team in supporting the provision of overall service delivery and facilitating matter management
- Work closely with Lawyers, Legal Function Management and Legal Operations Team to provide a well-structured approach to managing portfolios and addressing Project support demands
- Manage expectations to stakeholder groups in the form of regular reporting and issue management resolution
Requirements
- Experience of working in Legal Procure To Pay Operations
- Expert working knowledge of Procurement Applications and Systems (preferably Coupa / TeamConnect, SAP Invoice Processing etc.)
- Excellent written and verbal communication skills
- Excellent working knowledge of Microsoft Office, particularly Excel
