Job Purpose : Supervise and ensure the availability of standard facilities at optimum costs for smooth conduct of business and provide seamless administrative support to employees  Position reports to Circle HR Head  Role & Responsibilities :   Ensure adequate standard infrastructure availability for employees at all office locations for smooth functioning :  - Analyze manpower and other resources across the Business Unit, recommend future requirements w.r.t. required standards by and thereby creating new infra, and/or maintain /modifying existing infra to   - Review safety and security of establishments and company networks installations for smooth functioning to ensure minimization of incidences and exposure to the Company:   - Provide security staff and network installations as per requirements for establishments  - Check safety requirements and ensure effective implementation through awareness programs and mock drills  - Monitor & Control, Admin Capex/Opex expenditure and maintain cost efficiency in Admin Assets inventory & maintenance for the circle to ensure adequate budget is available for business plan:  - Review the MIS on usage, compare expense/budgets & investigate the areas of improvement towards seamless implementation of admin processes, quality & cost efficiency  - Innovate savings measures and implement without affecting quality.   - Monitor the Contracts, conduct internal inspection for, renewals & quality check.   - Ensure procurements at best market rates/quality in concurrence to the commercial team of circle.  - Supervise the process of submission of periodic statutory audits/returns as per various Acts to ensure compliances & timely payments (if any):  - Set up statutory returns calendar & process for filing the returns & process for auditory requirement.  - Ensure periodic statutory audit on compliances for all vendors & monitor the process for filing statutory returns.  - Liaison with Govt agencies for compliance and understanding  - Ensure timely renewals of licences and submission of reports to the management  - Monitor prompt service delivery at travel desk and smooth courier/ despatch services for the business:  - Collate annual projection of travel & propose travel budget for the circle  - Monitor all travel expenses for cost efficiency and budgetary control  - Ensure services availability at all times.  - Monitor vendor agreements for travel & courier for better cost effectiveness.  - Innovate predictive maintenance & backup procedures in case of emergency or failure of routine infra.
