Position Summary :  - Responsible for managing the ongoing facilities and operations for various ANSR premises.   - In addition, coordinates and assists in planning activities in facilities related construction and administration activities, including operational facility related activities, documentation related to contracts and SEZ.   - Occasionally responsible for on-site project management at site including: ensuring complete and accurate drawings, onsite management of vendors, monitoring of projects, ensuring safety standards at site, understanding ANSR quality standards, communication to onsite vendors.  Essential Functions :   Project Planning : Assist with providing periodic support & to work closely with consultants for generation of design drawings, design specs, BOQs, quantity measurements etc. for all the projects / site. Reviewing and analyzing Project design related parameters in line with ANSR requirements.  Project Meetings : To be part of project review meetings and partner with Client team on project related matters.   Facilities planning and organizing :   - Assists with identifying necessary internal and external resources and establishes project team. Supervises selection of external service providers/vendors, including negotiation and execution of facility related contracts. Assist in communicating project plan and assigns roles and responsibilities. Works with the vendors very closely and establishes schedule.  Tasks : Assist with defining tasks and stages  Risks : Visit the site, assess the progress, highlight the risks and developing procedures to deal with.  Quality : Understand the ANSR Quality standards and assess the levels of quality achieved and ensure   Timelines : Follow the timelines closely on the project  Progress : Keep all the project stakeholders informed of progress all along. Let but also inform them of problems as soon as they come up. Also keep you team informed. If changes are being considered, tell the team about them as far ahead as you can. Make sure everyone on the team is aware of what everyone else is doing.  Project Closeout : Assist in implementation and generation of reports on site related work progress. As part of the lessons learnt sessions, provides feedback including feedback from internal clients.  General Administration :   Process & Procedures :   - Assist in framing and design of process and procedures for the facility within the framework.  Operations :   - Facility upkeep-tight housekeeping mgmt., Security, BF/Lunch/Snacks/Dinner arrangements for employees, transport management - ensure safe movement of employees to and from workplace, regular maintenance, interaction with building manager/maintenance depts., etc., preparation of maintenance sheets, history card and process documentation for equipment, guidance on new areas, tools, techniques to manage facilities and growth better.  Facility Standards Development :   - Assist in the Development and documentation of standards to manage the quality and consistency of facilities.  Compliance :   - Responsible for compliance with respect to statutory laws and for all periodic audits (internal and external).  AMCs :   - On completion of warranty period, responsible for ensuring in place Annual Maintenance Contracts (AMCs) for all equipment's and ensure timely support is received during any breakdown of equipment's.  MIS :   - Metrics and measurement indices for facility maintenance and upkeep, dashboards showing progress.  Communication :   - Ensure timely communication to client, peers, vendors and all personnel connected with your work. Be precise, ensure all details on the subject is made available, use graceful language that communicates meaning to readers with clarity and fluency and is error free.  Continuous improvement :   - Proactively explore options for improvement and introduce new initiatives by collaborating with the client to identify and develop solutions.  Budgeting :  Capital Planning : Assist and manage the development of capital planning forecasts and submissions.  Expense Planning : Manages the development and control of administrative and occupancy related expense budgets for assigned locations.   CapEx Budget Management : Assists in the development and control of CapEx budget for assigned location. Participates in the review of CapEx requests and invoices to manage actual expense at or under plan, while supporting corporate initiatives.  Requirements :  Education/Training :  Graduate in any discipline or Diploma in Mechanical/Electrical/Interiors with relevant experience in a corporate setting. Strong negotiating, problem solving, verbal and writing skills, as well as ability to effectively communicate with all levels of the corporate structure are necessary.
