We have an urgent opening for one of the leading Pharmaceutical company for the profile of AGM/DGM Administration in Hyderabad location.

LOCATION ADMIN HEAD

JOB PURPOSE

1) To implement and monitor end-to-end Facilities Management Processes to support the Office/Unit in order to increase employee productivity and engagement.

2) To ensure quality and timely support to all customers, both internal and external

3) To achieve 100% customer satisfaction.

4) To assist the senior management in developing new policies, procedures, processes and programs.

5) To provide senior managers with information for planning and decision making and monitor expenses and operations.

6) To supervise the staff including outsourced on day-to-day operations.

RESPONSIBILITIES

1) Manage facilities & liaison of Office/Unit

2) Identify and engage vendors for FM services and meet all service levels and cost targets

3) Create reporting mechanism for all outsourced services to better monitor service and ensure efficiency

4) Ensure economy of operations by adhering to cost management, value addition and system implementation

5) Responsible for service delivery of FM Services viz Security, Housekeeping, Cafeteria, Travel, Transport, Water, Communications, Gardening, Laundry, Infra Management, Public Relations & Liaison, Photocopying etc

6) Accountable for FM services, processes, productivity and quality at Office/Unit

7) Work as a facilitator to provide goods and services with speed, probity and efficiency

8) Define and implement SOP and SLA for each service and also ensure strict compliance by all service personnel

9) Establish and maintain schedules and check lists for each service including outsourced services

10) Ensure space planning and allocation

11) Provide effective leadership to all reporting staff including outsourced service staff

12) Act as a member of the crisis management team at office/unit

13) Ensure that all laws, rules and regulations are complied with at all times

14) Maintain vendor relationships to facilitate delivery of outsourced services and also ensure fulfillment of all terms and conditions as per agreements and SOW

15) Adhere to annual budget by monitoring expenses and implementing corrective action plans from time to time

16) Monitors and evaluates operations, programs, processes and/or practices for better quality and effectiveness and makes recommendations for improvements

17) Responsible for execution of preventive and breakdown maintenance programs for office equipment, furniture, fixtures, fittings, ACs, electro-mechanical items including carpentry, plumbing works at the office/unit

18) Responsible for receiving, processing and payment of vendor and service related bills

19) Complete PDRs for reporting staff on time

20) Ensure optimal utilization of human resources

21) Motivate the reporting staff by improving work culture, acknowledging the good work done

22) Interacts with Senior Managers to find out the service levels vis-a-vis their expectations and improve the services on regular basis.

23) Prepare FM Manual and constantly update
