Specialist Facilities Office Administration and Retail Stores. Roles & Responsibilities Retail Stores Set up Management : - Work with manager to outline scope, goals, deliverables, required resources, budget, and timing for fitout of retail stores - Supporting manager in managing the construction of new retail stores. - Daily monitoring of construction work status and update the same to the manager for timely action. - Resolve any issues and solve problems through project life cycle - Regular Follow-ups with franchises to ensure infrastructure is in healthy state - Backend management in co-ordinating and supply of stores props, stationary and uniforms - Co-ordinating with Franchises and vendors for site billing Homeshop Set up Management : - Follow-ups with vendors for timely delivery of fixtures - Co-ordinating with Homeshop owner and vendor for installation of fixtures Backend management for supply of visiting cards and other stationary material. Facility Management: - Responsible for maintaining the facility with regard to infrastructure and amenities. - Manpower Management - Housekeeping, security and Horticulture - Courier Management - Housekeeping and Stationary consumables management - Visitor Management - Reception Management Administration: - Travel Management: - Ensure finalization, monitoring and control of travel, hotel and visa processing of employees travelling through the TMC agency. - Cafeteria management - Employee engagement event management Vendor Management: - Identification of service requirement and providing services by engaging appropriate vendors. - On boarding of vendor and managing agreement with them. - Periodic evaluation of vendors and providing management reports Backend: - Invoice processing - Preparation and Submission of monthly Accruals - MIS and Dashboard - SRF for birthday and office Use EXPERIENCE & SKILLS - Qualified : Graduation/ Post Graduation - Proven Experience : 5-7 years of relevant experience in Administration. (Experience in Travel management and Interior fitouts will be preferred) - Good knowledge of MS office JOB REQUIREMENTS: - Should have experience in facility management, Transportation, logistics, Hotels, aviation domain and vendor management - Good Interpersonal Skills - Ability to handle multiple tasks with ease, set appropriate priorities, and manage time effectively while paying strict attention to detail - Strong integration skills, with the ability to coordinate all aspects of Retail store projects - Ability to identify issues, recommend and implement strategies to resolve problems, and manage issue escalation effectively
