Minimum Experience : - 15+ years of experience in handling payroll, statutory and labour compliance. Special Skills/Attributes : (required for performing the job effectively) - Expert Knowledge in Compensation and Benefit Policies and Compensation Structuring - Knowledge of Income Tax - Knowledge of labor laws and statutory compliances - Liaison skills (with local consultants/PF/ESIC Officials, various government departments, etc.) - Expert knowledge of Excel Overall Purpose/Objective : Of the job Manage Payroll, Statutory and labour Compliance, ensuring timely and error free payment of all employee payments related to salary (including bonuses and other cash payments), reimbursement, final settlements, and other benefits, in total compliance with all statutory regulations and internal guidelines Key Responsibilities : (List major responsibilities, that you have, to achieve the key objectives) a. Maintaining Payroll Database - Monitoring the payroll database maintenance and updation by the team in a timely and accurate manner. - For locations, coordinate with the respective Regional HR for obtaining the data viz. mobile expenses recovery, LOP, credit society details (society reimbursements), new joiners/resignation/internal movement of employees or any update in IT declaration by the employees, etc. b. Salary Calculation&amp; Disbursement - Checking and monitoring the attendance and the leave data to calculate each employee's net salary for the month i.e. gross - payment and deductions with 100% accuracy (Income Tax, Professional Tax, Mobile Expense Recovery, PF, ESI, etc.) - Calculate the impact of change of any parameter pertaining to employees compensation such as revision in declaration of Income Tax etc- - Calculate the net salary to be credit for every employee and forward the salary calculation sheet to VP - HR for validation 48 hrs before disbursement. - Responsible for appropriate coordination with the finance and accounts team to arrange for funds to ensure timely disbursements of salaries by the banks - Responsible for coordination with Banks for timely crediting the salaries for all employees and fund arrangement, as per defined schedule - Monitoring appropriate TDS Calculation based on Declaration/Proof by the team - Monitoring the timely completion of checking &amp; validation of LTA/Medical bills - Responsible for query resolution of all employees across locations pertaining to salaries in an effective manner - Ensure salary disbursement on last working day of the month c. Supervise various technical activities related to payroll processing - Ensure final level checking of all salary are verified before confirmation of the payroll by checking change reports related to each of the payroll fields and sharing the change reports with VP - HR for approval. - Responsible for coordination with Adrenalin (Software vendor) team for timely up gradation and modification in the software as per policy / rule changes etc- d. Processing of full and final payment - Responsible for timely and accurate completion of final settlements related to cases of resignations and retirement - Responsible for checking and submission of the approved data of final settlements of individual employees to VP HR as per defined timelines e. Coordination with various internal/ external departments - Work with PF/ ESI consultants to ensure all statutory deductions are calculated correctly in compliance with prescribed rules - Work closely with the Finance department and Banking partners to ensure seamless transfer of funds - Lead interactions with internal stakeholders for speedy resolution of identified issues f. Audit - Responsible for coordination of with auditors to provide responses to audit queries and discuss corrective actions in case of deviations, if any - Audit the master data and other systems impacting the working of the Payroll function to ensure alignment with the company's policy and provide inputs for improvement (if any) g. Legal/ Statutory Compliance - Monitor the regulatory environment to ensure timely identification of changes in statutes, laws, regulations and highlight implications of the same to the senior management - Responsible for timely submission of employees- salary details to external PF consultants for ensuring correct and timely calculation and payments of various benefits i.e. Provident Fund, ESI etc. by the team - Obtain new PF/ESI Code for new SPV as and when required - Validate the PF challans prepared by external consultants on a monthly basis and send to accounts for payments as per the stipulated time frame - Supervising the online UAN Generation / Link through the PF portal for all employees - Monitoring the PF Online KYC completion - Responsible for Online PF Transfer form checking &amp; approval - Responsible for timely employee query redressal and to help employees on PF Withdrawal/Transfer process - Responsible for handling the PF/ESI Inspection - Periodic labour and statutory Compliance Audit (Contractor Compliance) at Site/Center as per norms and submission of the audit reports - Monitoring the employee grievances regarding PF through regular visit to PF Office by the team - Maintain relation with the Government Officials h. MIS/ Reports - Ensure timely and accurate data related to employee salaries is provided to the accounts team in a timely and accurate manner to support them in booking of cost centers and budget preparation - Ensure accurate data related to employees salaries, deduction and net pay data is provided for the purpose of Provident Fund - Responsible for maintenance of MIS data with 100% accuracy - Prepare monthly MIS and other MIS as per requirement, as &amp; when required by various internal teams i. Other General Responsibilities - Ensure the TDS return file on time - Prepare and disburse Form 16 for every employee after the end of the Tax year to enable tax filing along with the team - Ensure proper streamlining and centralization of the various payroll related systems and processes across the organization - Monitoring and coordination for the monthly Insurance Addition/Deletion data to be submitted to Insurance team and responsible for monthly endorsement of new joinees by the Insurance Co. - Mediclaim submission for claim settlement and regular follow up for reimbursements of claim - Mediclaim Policy Renewal to be done annually as per the best possible quotations - Gratuity Policy Renewal on time for the companies of Phoenix group, once in a year - Responsible for timely Gratuity Employee Claim Settlement - Form New Gratuity Trust for new SPV as and when required - Responsible for Internal Consultants monthly payment on time - Co-ordination with Advocate for ongoing labour cases - Process for registration of new enrollment of NPS - NPS MIS on time - Coordination with accounts and consultants for actuary valuation of all the companies of the Group on time, once a year - Responsible as a team member during the Annual Appraisal process for generating the Compensation structures and Increment Letters for all employees as per PMS Process New HRMS Implementation : As one of the Core Team Member of the HRMS Implementation Team, the incumbent will be responsible for smooth implementation of new HRMS software for driving the project to success and ensuring smooth transition from Old HRMS to New HRMS
