Qualification : B.E/B.Tech + MBA (Preferable)
Experience : 7-15 Years
We are seeking a highly organized and proactive Executive Assistant to the Chairman for Project Monitoring in the steel industry. The successful candidate will provide comprehensive support to the Chairman in overseeing and monitoring various projects within the steel industry. This role requires exceptional organizational skills, excellent communication abilities, and a strong understanding of project management principles within the steel industry.
- Project Details: Collecting the project planning/project monitoring & project budgeting details & ensuring adherence to timelines, budgets, and quality standards.
- Reporting: Prepare accurate and timely reports on project progress, highlighting key milestones, risks, and issues. Consolidate information from multiple sources and present it in a clear and concise manner.
- Documentation Management: Maintain project-related documentation, including project plans, contracts, financial records, and correspondence. Ensure proper organization and easy retrieval of relevant information.
- Stakeholder Coordination: Facilitate effective communication and coordination between the Chairman, project teams, internal departments, external stakeholders, and clients. Schedule and coordinate meetings, prepare agendas, and document minutes of meetings.
- Data Analysis: Analyze project-related data and metrics to identify trends, performance gaps, and areas for improvement. Provide valuable insights to the Chairman to support decision-making processes.
- Risk Management: Identify potential project risks, assess their impact, and propose mitigation strategies. Work closely with the Chairman and project teams to implement risk management plans.
- Budget Monitoring: Assist in monitoring project budgets, tracking expenditures, and analyzing financial data. Alert the Chairman to any budgetary deviations and propose corrective actions.
- Research and Information Gathering: Conduct research on industry trends, market conditions, and emerging technologies to keep the Chairman informed and enable informed decision-making.
- Calendar Management: Manage the Chairman's calendar, schedule appointments, and prioritize tasks to ensure efficient time management.
- Confidentiality and Discretion: Handle sensitive and confidential information with utmost professionalism and maintain a high level of discretion at all times.
- Previous experience as an executive assistant or in a similar role, preferably within the steel industry or a related field.
- Strong knowledge of project management principles, methodologies, and tools.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Exceptional attention to detail and accuracy in work output.
- Excellent communication skills, both written and verbal, with the ability to interact confidently with stakeholders at all levels.
- Proficiency in using productivity tools, such as Microsoft Office Suite and project management software.
- Analytical mindset with the ability to analyze data and present insights in a clear and concise manner.
- Proactive and self-motivated, with the ability to work independently and take ownership of assigned tasks.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Flexibility to adapt to changing priorities and deadlines
