Team Manager-Investment Operations-Night Shift

Job Description

The manager will oversee and develop a team of professionals in the United States, Poland, or India locations who are responsible the accurate processing of corporate actions declared by companies into the Company's systems. The team works with global asset custodians, market data providers, companies, and transfer agents to source cleanse, and validate corporate actions data for system processing in compliance with internal policies and procedures, as well as fund and regulatory requirements. The team also liaises with and provides client service support to Portfolio Managers, Research Analysts, various other departments. The manager is responsible for developing and maintaining relationships with internal and external clients and leads the team by setting department policy, providing operational direction and strategy, training and staff development, tracking performance, coordinating workflow, and implementing process improvements to increase efficiency and mitigate operational risk.

Manage Daily Operations

- Manage the daily workflows within the department to ensure timely and accurate processing of corporate action information in the organization's systems

- Collaborate with internal teams including Pricing, Global Trade Services, and Investment Accounting to ensure that security and fund valuations accurately capture the impact of a corporate action event

- Partner with Global Fund Tax departments to understand the tax implications of a corporate action event and apply those tax treatments to the organization's funds based on jurisdiction

- Resolve issues/escalations raised on corporate actions sourcing and/or processing by thoroughly researching SWIFT messages, vendor/company websites, calling PMs/Research Analysts, or calling companies directly to obtain the information needed to resolve the escalated issue

Strategic Planning

- As member of Global COAC management team, participate in strategic planning process of the department including development of vision, mission, commitment pack items, global footprint, and other key priorities

- Ensure the team is adequately staffed and has access to the necessary tools to execute on operational deliverables

- Assist in the development of strategic direction for the department and initiate and oversee implementation.

- Represent the company and participate in various industry meetings/ conferences to foster a network of relationships across peers, vendors, and global custodians in the industry

- Identify and assess impact of evolving regulations, new technology, and industry best practices to the corporate actions department

- Recommend and implement changes or additions to COAC policies and procedures to increase efficiency and/or accuracy.

Risk Management

- Maintain the department level risk model, identify evolving risk areas, evaluate and implement plans to mitigate risks

- Develop and maintain department level policies & procedures

- Ensure all department activities are in compliance with policies, procedures, internal controls, and regulatory requirements

- Review risk memos and suggest and implement solutions to reduce risk

- Respond to audit findings

- Escalate critical issues to the Director

Staff Development

- Determine the training needs of staff on COAC policies and processes

- Conduct regular staff performance evaluations and career development discussions

- Motivate and challenge staff to higher levels of performance

- Develop succession plans for all positions and levels

- Participate in team/division meetings

- Realign group members into new function role where necessary for efficiency

- Promote/foster a global team culture within COAC

- Coach supervisory staff on leadership competencies

Process Improvements

- Lead department projects, identify project objective, resources, and barriers, and implement project strategies

- Partner with other COAC managers to maintain consistency and best practices across the global team

- Constantly evaluate and determine improvement to existing workflows and technologies

- Review and initiate - Straight through Processing- for all functions performed where it reduces risk and manual inputs

- Drive for solutions by continually seeking ways to reduce risk and streamline processes

The Ideal Candidate

- Bachelor's degree in business, economics, or finance preferred

- Extensive experience in a midsize corporation including strong and demonstrable experience leading people and/or projects

- Excellent verbal and written English communication skills

- Excellent facilitation, mediation, negotiation, and persuasion skills

- Ability to develop and maintain excellent working relationships with individuals internally, with our global custodians, and market data providers

- Ability to organize, prioritize workflow and direct operations

- Strong attention to detail, quality, and organizational skills

- Proven ability work under pressure in a dynamic environment

- Ability to motivate staff, promote a culture of accountability, organize workflow, manage resources, and change

- Ability to set direction and guide staff to desired results

- Work on matters with high scope and complexity; make decisions on risk and financial matters

- Develop solutions to a variety of complex problems; ensure solutions are consistent with organization objectives
