1) have a fairly thorough understanding of all our processes, workflows and business objectives 2) deeply study the systems / technology and understand it's strengths and limitations as well as the changes we've implemented since last few years 3) automate end to end tracking and user level allocation of volumes (emails, back office transactions) based on skills/competencies, to begin with 4) structure and produce comprehensive MIS reports for active real time management of operations as well as executive communication. Note: given the regulated nature of our business, it's utmost crucial that accuracy of all MIS reports is at 100% at all times, which is non-negotiable. The Workflow and Information systems specialist role will need to fully and independently own this deliverable. 5) actively troubleshoot where workflow trends / results are not as expected and fix 6) besides above, on an ongoing basis: a) actively work with operations and identify work-flow enhancements to reduce/eliminate manual steps, dependency on people and hand offs. b) serve as data custodian for the department. Eg: respond to RFIs (request for information) c) comprehensive, accurate and up to date documentation of workflow processes and systems (sops) d) actively work with the team owning BI portal and ensure exec reports are accurate and up to date 7) this is a hands-on senior role, as such the candidate is expected to be self-propelled / motivated and a quick learner Hands on experience needed (4-5 yrs core experience in below... it doesn't matter how much total experience they have): 1) automation of complex volume management workflows 2) highly proficient in automation using MS excel, MS access, SQL, VB, SAP BI (sap experience is preferred but not mandatory) 3) defining and implementing new process workflows 4) structuring/objectifying business needs such as RFIs (request for information), writings technical queries to search and retrieve desired data from unstructured data sets such as emails 5) data cleansing - quick, scalable and accurate cleansing 6) deep analysis of data, trends etc and creating insightful information dashboards for senior executives 7) documentation of work flow processes 8) experience in Volume forecasting and invoice reconciliation may be an added advantage
