Hamilton Houseware - Senior Manager/Manager - Admin (14-18 yrs)

Milton is looking for an Admin Manager for its Kandivali Mumbai office.

JD - Admin Manager

1) Process Implementation - Prepare process document for all the Admin related functions.- Plan and coordinate for systems and devise ways to streamline processes.

2) Infrastructure - Evaluate and forecast the Infrastructure to ensure space allocation for employees as well as storage, Optimize the existing space utilization. Coordinate with vendors for any new property or renovation work in a cost effective manner. Ensure maintenance and upkeeping of all the facilities of the company- Ensure all the infrastructure is well equipped & employee requirements are adequately addressed.- Ensure fixed assets data maintenance and reconciliation on a Pan India basis.- Ensure timely renewal of office licenses.- Develop new infrastructure and office premises as per requirement

3) Vehicle Management - Ensure availability of all the company vehicles.- Ensure timely procurement of vehicles for the entitled employees.- Ensure, periodic inspection, maintenance of the company vehicles.

4) Travel Desk - Guide the travel Desk for cost effective ticket & hotel booking,Ensure seamless and delighted service from Travel Desk5) General Administration, Ensure smooth running of all the equipment like telephone, xerox, AC, tea/coffee machine etc. across all facilities, Ensure backup plans for eventualities.- Ensure timely supply of Stationary, Business Card, Inter-Office courier, Internal courier distribution, External courier, Drinking water, snacks.- Ensure office cleanliness by proper housekeeping- Provide monthly MIS on cost, initiatives, challenges and proposals.- Handling emergency situation (Fire fighting, power failure, natural calamity etc.)

6) Support staff management - Ensure availability of receptionists at all the locations on a daily basis.- Managing office boys, courier boys and other support staff.- Assess support staff performance and provide coaching and guidance to ensure maximum efficiency

7) Repair and Maintenance - Ensure timely execution of repair and maintenance activities in the premises.- Ensure timely renewal of AMC of all the equipment.,Payment of premises rents on time- Coordination with different landlords for external repair and maintenance, Maintenance of company provided vehicles.

8) Procurement - Ensure optimum inventory of office supplies and establish systems to track the consumptions. Ensure timely and cost effective procurement of required items from time to time.

9) Budgeting and Control - Achieves financial objectives by anticipating requirements; preparation of budget; scheduling expenditures; monitoring costs; analyzing variances.- Ensure that all the expenses are within the monthly / quarterly / annual budget for all locations across India.

10) HR Coordination- Coordinate with different stake holder for any HR activities at different locations.

Ideal Candidate:

- Should be an independent Admin person who can work with least supervision.

- Proven experience in administration

- In-depth understanding of office management procedures

- Familiarity with financial and facilities management principles

- Proficient in MS Office

- Analytical ability with problem-solving skills

- Excellent organizational and multitasking abilities

- Someone who has handled >1500 employees with multi location offices and factories.
