Basic Office Facilities :
1. Plan and coordinate administrative procedures and systems and devise ways to streamline processes
2. Monitor costs and expenses assigned for the Administration department
3. Ensuring smooth functioning of allied teams like Housekeeping, Pantry, Security, Vendor Dealing, and front desk for head office and regional offices across cities.
4. Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
5. Coordinating with various vendors, keeping track of various office Admin bills, and overlooking the purchasing, ordering, stock maintaining and distribution of office supplies like Stationeries, Printing consumables etc and maintaining track of the same.
6. Recruit and train personnel and allocate responsibilities and office
Employee Experience :
1. Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
2. Delivering a smooth onboarding experience and proper induction of new employee by ensuring the front desk is well trained, office is maintained, ID and access cards are issued on time and adequate parking facility is provided etc.
3. Managing the shuttle services for employees at various location
4. Ensuring various events and occasions across offices are organized successfully e.g. townhall
5. Taking responsibility of receiving and ensuring a smooth experience for leaders from the global team
Travel :
1. Responsible to effectively organize travel arrangements for all trips of management and employees;
2. Anticipating and coordinating point-to-point travel and logistics needs, including but not limited to directions, commuting time and ground transportation, passport and visa processing
3. Manage tie ups with guest house, hotels and visa processing agencies
Expansion :
1. Leading expansion of offices in cities like NCR, Mumbai, Pune & Bangalore
2. Conducting financial analysis and technical feasibility of the site
3. Streamline and formulate robust legal agreement for new offices with aim to ensure statutory adherence and mitigate organizational risk exposure
