Job Title : KM Analyst

Designation : Analyst

Job Dimensions :

Purpose :

- Executing knowledge management projects in the areas of KM system design, maintenance, document management and content management

- Ability to understand knowledge requirements and build suitable solutions including process mapping, taxonomy, content tagging and tool design and maintenance

- To document the functionality and adequately format the document (this may include formatting excel sheets, scripting power-point slides, word documents

Responsibility :

1. Knowledge Management - Projects

- Support end to end activities within KM projects

- Support the project lead in requirement gathering and documentation.

- Translate business requirements into a design and build a suitable solution including - taxonomy, tagging, processes for maintenance and governance

- Should be able to front-end with stakeholders (written and verbal communication) for tasks such as clarifying requirements, presenting options for solutions, troubleshooting etc.

- Should be able to map processes for various departments and teams within Prudential. Adhere to documentation standards and guidelines

- Create diagrams and illustrations as needed, co-ordinate illustration / editing resources in support of research / technical documentation,

- Interact with subject matter experts to capture business process knowledge and create process manuals and SOPs

- Attention to detail : Check and verify all facts, references and illustrations for accuracy and ensure it matches the user requirement and is appropriate

2. Knowledge Management - Internal

- Organising and running knowledge sharing workshops

- To manage the effective capture and use of internal knowledge and its integration into the corporate knowledge base according to KM principles

- Designing processes for knowledge management systems, databases and Intranet Maintenance and enhancing effectiveness of company's databases including Lotus Notes, Achiever plus etc.

- Profile / categorise knowledge and integrate documents stored in a secure document management system. Work with business verticals and teams to enhance the ways knowledge is categorised and stored

- Designing processes for knowledge management systems, databases and Intranet

- Subject matter expert (SME) / Single point of contact within team for all-technical documentation related questions, issues, and requests for clarification. Therefore, he or she responds to every query with a response sufficient to meet the needs of the department

- Perform quality checks to ensure that documents are properly categorised and stored

3. Content Management (as and when required) :

- To provide information management support to business teams

- Upload and maintain documents in the knowledge system /database

- Look into the quality of the content / documents in terms of its structure, content, tone, audience, pedagogy, mechanics, formatting and consistency

- Create diagrams and illustrations as needed, co-ordinate illustration / editing resources in support of research / technical documentation

- Adhere to documentation standards and guidelines.

Academic Qualifications :

Required - Graduation in any discipline

Desired - MBA

Experience :

- Minimum 2 years relevant experience in Knowledge Management/Document Management and Process Mapping

Skills Required :

Knowledge :

- Basic knowledge of SharePoint 2010

- Basic html coding knowledge

- Basic knowledge of the Insurance Sector

- Experience with Office tools - PowerPoint, Excel, Word, Visio, etc., Adobe acrobat writer / distiller, MS-project

Skills :

Proficient in usage of content management tools like SharePoint, Lotus Notes etc.

- Excellent written and verbal communication skills with an emphasis on communication with stakeholders

- Documentation and Process mapping skills

- Good listening, comprehension and retention skills

- Prioritization skills

- Ability to identify and understand business issues, and understand the impact on the business of proposed solutions

- Project Management & Stakeholder management exposure will be preferred
