Manager - IT Procurement - Software & Hardware

The Procurement lead is a key position that will handle a variety of tasks ranging from initial supplier negotiations to more transactional duties including RFQ, purchase order entry, delivery tracking and other project orders, in a fast paced, high pressure environment.

It requires managing day-to-day operations of the procurement process. Responsible for cultivating a strong partnership with Partners, IT and business teams, setting up vendor management frameworks & associated process flows.

- Sourcing/Selecting qualified suppliers/partners through the agreed vendor evaluation process

- RFQ & Negotiation including negotiating best possible price, payment terms, and delivery schedules

- Purchase Order entry

- Supplier relationship management

- Measuring & Managing supplier performance (price, delivery, and quality)

- Identifying supplier risks

- Developing and leading new supply sources (Advanced Sourcing, Dual Sourcing) while supporting daily responsibilities

- Interfacing positively with internal cross-functional organizations and suppliers

- Complying with corporate guidelines on business ethics

Responsibilities:

Building Strategic Partnership / ecosystem across IT

- Lead PIL's strategic sourcing activities to professionalize the sourcing of IT requirement includes infrastructure and services

- Ensure full buy-in of business partners in various business functions as well as IT department for various procurement activities

- Ensure that supply agreements, commercial terms & conditions, specification information and pricing information including changes are communicated accurately and in a timely fashion to appropriate operational teams/individuals

- Ensure all service level agreements (SLAs) for information technology services across the organization are delivered as per specifications.

- Function as a single point of contact for all elements related to policy, process and data related to IT procurement & compliance

- Report on a bi-weekly basis to senior management

- Partner Sourcing for Digital Transformation, Infrastructure, Security & innovation projects

- Identify and research potential new vendors/product for Digital transformation & other projects based on PIL's requirements

- Ensure products and services are purchased in the most cost- and time-efficient manner.

- Evaluate contracts and vendors and articulate key critical decisions points regarding the same.

- Responsible for giving strategic inputs into developing IT budget

- Suggest & Prepare ongoing quality, contract and Service Level Agreement improvement programs with suppliers

Multi-vendor Governance :

- Define a multi-sourcing governance framework so that every service provider can effortlessly communicate, collaborate, and align their efforts towards common business objectives.

- Setup monthly cadence with key account holder and share inputs on current and future engagements

- Serve as a mediator during any disputes between multiple vendors and IT staff.

- Publish a periodic dashboard to the team and leadership on various KPIs related to each vendor's specific deliverables.

Vendor evaluations :

- Develop vendor evaluation process as per PIL standard.

- Preparation of RFI evaluation matrix pool for identified categories

- Communicate RFPs/RFIs to communicate to shortlisted vendors who can provide solutions as per PIL's requirements

- Setup meetings between PIL team & vendors to facilitate discussions around RFP requirements

- Engage with vendors for product demo during evaluation phase of contracting
