Position Title - Manager - Contracts Level/ Grade L2

Functional Area - Contracts Location Gurgaon

Reports To Direct: Head Contracts & Procurement

1. Basic Purpose of the Position:

The incumbent shall be responsible for Contract administration job for entire Zone and ensure conformance with standard contract term, SOPs, policies, standardization, claim management and streamlining the same wherever required.

3. Role Responsibilities:

Responsibility Area - Key Activities Indicative Performance Measures Financial/ Strategy

1. Budgeting - Monitor and highlight the risk of extra items

- Monitor the risk of non-performance of contractor - Budget variance

2. Claim Settlement - Facilitate the team with study of contractor claims and nullify it.

- Facilitate preparation of document for counter claim to contractors with Project Contract Managers/ PM - Timeliness of payouts to vendors

Operational / Customer:

3. Scoping of Contract Requirement - To ensure that all contractual correspondences done and contract administration are properly monitored and addressed to safeguard the interest of GPL

- To ensure that all critical contractual issues such as Contractual communication, Bank Guarantee management, Extension Of Time, LD, Suspension, Variations, Extra Items, de scoping, Termination, and Claims are administered as per the SOP effectively to safeguard the interest of the Company. - TAT

Timeliness:

4. Contract Administration - Checking of all EOTs to be granted to the Contractor

- Checking of all amendments being issued to the Contractor

- Facilitating process for the Final Bills and closure of the Contracts

- Facilitating the team to issue all Contractual documents to the Contractors

- To follow the Company's SOPs for Contract admin and creation of new SOPs to smoothen the process

- To help and facilitate teams with various Contractual obligations like LD, Suspension, variations, de-scoping and termination

- Carry out Documentation audit for Contract admin by respective Project Contract Manager at Site

- Maintains regular connect with the contractors

- To ensure that contractual obligations are met in time and harvest all contractual benefits.

- Identification of deviations from contract conditions and documents and be responsible for lodging variations in a timely manner, follow-up with project authorities and realization of the variations.

- To document and maintain records/documentation pertaining Contract Administration of the project. Create Data bank and maintain project history.

- On-time delivery by the contractor as per pre-defined specifications

- Smooth functioning by the contractor

5. MIS and Reporting - Help the team for the Preparation of the communication with contractors.

- Compile Contract admin, claim management reports for entire Zone and highlight to Management - Error free documentations, timeliness

- TAT

Process:

1. Process Adherence - Complies with company defined guidelines and processes

- Adheres to contract conditions.

- Ensure all deviations are approved as per SOP's - % Process compliance

2. Process Improvement - Identifies processes/procedures in own work area that need improvement

- Recommends process improvement ideas to streamline efficiency/ costs/ productivity

- Undertakes process improvement activities in own work area- creation of SOP's for smoothening of Function. - Initiatives taken

- Impact of process improvement ideas

- Educate all the Project Contract Managers and Site teams on Contract admin on regular basis

- Takes concrete steps to pursue self development through training, education, projects etc. - New skills acquired

- Projects Performances of contractor for timely delivery of project.

- Finance Insurances of the project and counter claims for contractors

- All Departments Error free documentation and track all correspondences of contractor.

- External Interfaces Purpose of Interaction

- Vendors / Consultants / Contractors For no claims and create a win-win situations.

6. Position Specifications (Know-How, Skills and Knowledge for this position)

Qualification BE Civil Engineering; Desirable (additional) - LLB / MBA,

Experience - 6-12 years, in contract administration out of which 4-5 years at Site in infrastructure / real estate industry and 5-7 years in contract administration for large Real estate projects or Infrastructure projects, valued more than 300 cr.

- Should have good communication and negotiation skill, thorough in formulating and administering large size projects, primarily in item rate contract.
