Job Description:

Position Goals And Key Performance Indicators:

- To prepare and maintain an Annual Budget for the Operating Costs of the Mall and CAMS based on the criteria set by Management.

- To maintain a current Inventory of all plant and equipment within the control of Facility Management. Issue to the Assistant Mall Manager a current status report each quarter.

- Hold Weekly meetings with the Direct Reports to ensure work allocated has been addressed; new works to be allocated are allocated with deliverable timelines set.

- To maintain a constructive working relationship with Management, Marketing and Retailers at all times.

- To present the Mall in a well maintained and professional manner at all times and delivers quality services to retailers within the agreed standards and budgets.

- To ensure all Plant and Equipment is maintained consistent with the Operational Manuals provided at Handover. Achieve a 100% compliances of all preventive maintenance schedules through the deputed E&M Agencies and also AMC's

- To maintain the plant room high side equipment's and low side of the common area in good order and presentation at all times and within the agreed budget and operational standards as set out in the Service Manuals.

- To constantly track Common Area Maintenance Expense to ensure budgets and cash flows are achieved or bettered.

- To monitor energy consumption and translate these results into meaningful reporting for both the Management and the retailer. Target to achieve a 5% reduction in consumption on a year by year basis.

- To prepare the energy billing as per the Maintenance Agreement and provide details to the Mall Accounts Manager within the deadlines given by Head - Mall Operations & FM. Achieve 100% accuracy in calculating the energy charges to all retailers.

- Ensure 100% compliance with all statutory compliances.

- To ensure zero major break downs of the Plant and Machinery.

- Quality services to common area and retailers and ensure regular reductions in complaints.

Duties & Responsibilities: In the role, the following illustrative list of responsibilities are included, but not limited to:

- Operating and Maintenance Plan - Develop an Annual Plan and Budget of Operating Costs, CAMS and CAPEX for presentation to Management by December 1st each year for the fiscal year commencing April 1st.

- Energy Saving: Tracking of energy consumption and reduction of energy usage by innovative practices within the standards set out by Management.

- Budget : Monitor expenditure against the approved budgets constantly and report Monthly on performance against Budget for Operating Costs, CAMS and CAPEX. Any extraordinary variations to plans or budgets to be reported immediately to Head - Mall Operations & FM.

- Purchasing: Ensure competitive prices are obtained for all consumables, spares, repairs and maintenance activities. Ensure that Management and other approving authorities approve all purchases above agreed limits of authority.

- Maintenance Contracts : Ensure all contractors maintain the regular services required to all plant and equipment as per the Service Manuals, their contracts and billings.

- Inventory: Maintain an Inventory of all plant and equipment, update monthly and issue to the Administrative Manager quarterly.

- Legal : Be aware of the legal and insurance requirements with regard to all Facilities activities and ensure strict adherence to these matters.

- Compliances- Liaison with local civic bodies and others as to statutory approvals and ensure 100% compliance. Immediately escalating any non compliance matters identified to the Head - Mall Operations & FM.

- Internal Reporting : Provide timely reporting and quick response to internal requests for information. Attend those meetings / forums nominated by the Head - Mall Operations & FM.

- Internal Liaison: Confer with Head-Mall Operations & FM, Asst. Mall Manager, Marketing Manager and other staff to discuss services related procedures and issues and provide resolutions.

- Retailer Liaison : Liaise with the Management and Retailers to ensure that there are no issues in terms of the services provided under common areas. This includes regular retailer facility personnel meetings.

- Billing: Provide timely monthly details of electricity consumption and chilled water usage consumption tenant wise to the Accounts Department for generation of Billings.

- Projects: Review the property on regular basis and take care of small projects required for improving the services to the tenants. Provide all support in terms of MEP services to the internal fit-out activities.

- Documentation: Keep records of all but not limited to PPM related activities, history cards, energy consumption, expenses and asset records, spares consumptions etc. At the weekly Management Meeting provide any relevant retailer data for inclusion in the Retailers File.

- Listen effectively and communicate through actions and example.
